To the best of my knowledge, all bought-out parts necessary have been bought. Given that, combined with the infrequency of committee meetings at the moment, please approve reimbursing me today (I've added the total to the agenda and emailed treasurer@ the receipts). Things left to do: - plumb in the drainage hose - hook up power - attach evaporation pan to the underside of the machine - seal up assembly with silicone ...all up, around 3 hours more work. There will also be a future reimbursement to renderprism of approximately $17, since two of his drillbits were broken during the work and need to be replaced. Finally, in the interests of full disclosure: If you look on the coffee table in the clubroom you will find the evaporation pan for the fridge - it's in pretty bad condition and had a hole in it, which we've patched. I suspect the hole is why the tav threw out the fridge, as it would have been leaking on the floor on humid days. This pan will work for a while, but it's an older design that runs hotter than it needs to, and the walls are wearing very thin in places. I think we should replace it relatively soon once we have everything working - cost $110 to $170. In my absence it has now returned to what it used to be: a mess - A general thing to note is to not use the coffee table as a storage area - It should be for short term usage, not for leaving things overnight - [MVP]: I think it comes down to a general storage issue - [SAS]: I can find a place for everything on that table - [DJF]: Only thing that's currently on the table and should remain is the tissues - Everyone argues about the appropriate place in the clubroom for disposable plates - [LDT] carefully explains how the constant dust and dead insect rain would make plates unusable in most locations - [SAS]: Ok, its 11:35 now so let's get this meeting rolling, latecomers are now 35 minutes late Opening and Closing Procedure ============================= Opening Procedure ----------------- - [SAS]: First expectation is that anyone who opens the room is expected to quickly wipe down all of the desks and also vaccuum the room - In general, opening procedure will be easier than closing procedure - Also, at the very least, door members should check the drinks machine for an empty slot and fill it, or ask members to fill it - There's an LED indicator, just check for red lights - [BOB]: Get help when you do it, don't be afraid to put other members to work - [BLZ]: I'm a lazy c*nt and I'll just get the first person who walks in to do it for me > [JDN] arrives 1139 - [SAS]: We'll just remove you from door, if you don't take up your responsibilites we'll just remove you on a case by case basis - [BLZ]: I'm also a sneaky c*nt and I just won't do it, will committee actually monitor every day? - [LDT]: I actually think there are people in the club who would monitor and make sure that its done - [BOB]: Hose of the vaccuum cleaner is broken - Need to look at it to be fixed or buy a new one Closing Procedure ----------------- - [SAS]: Closing procedure - Push the chairs in - Pushing chairs in is not hard - [DJF]: We all spent 7 years in primary school doing it, get used to it - Peripherals should be secured and plugged into the computer - Your responsibility because you should know about any mice, etc that have been unplugged anyway - [DJF]: One thing I started doing at the end of last year, is that I roll up headphgones or game controllers and leave them wrapped up on top of machines - [SAS]: May decide of a box next meeting to stow away floating peripherals - Will decrease clutter overall and make closing easier - [PJA]: Does any of this need to be done during the day? - Just needs to be done at night, not really neccesary during the day - [SAS]: Everything on the coffee needs to be put away - [SAS]: Project bench needs to be cleaned up if you've used it - [LDT]: Kinda working towards making a box on the side a thing - [BOB]: What about active projects that can't be moved? - [SAS]: That's OK, just make sure that its clean enough to wiped around - [SAS]: Put out the bins too - [BOB]: I'm sorry, I'm not emptying Unisfa's bin - [BOB]: If you want me to empty it, put it back in the clubroom - [SAS]: We moved the bins out of the clubroom for a reason - The cost of the bins being in the clubroom is greater than the small amount of extra rubbish that we have to take out - [BLZ]: In addition to being lazy and sneaky, I'm also stupid - This is too many changes - [SAS]: Changes will be set out on the wiki and printed in the clubroom - [AMS]: Have you tested how long this will take? - [SAS]: That's a good point. I'm happy to run a test tonight and tomorrow morning - [AMS]: Also, the closing procedure seems to be longer than opening - [LDT]: Disagrees, opening seems longer - [SAS]: There is also an expectation that the closing procedure will be a little more shared - [BOB]: If there door members are leaving earlier than others in the evening, are the people leaving earlier expected to close too - [SAS]: Yes - [BOB]: But will committee actually back us up on this - [SAS]: Yes - [SAS]: Members should be told off if they leave rubbish or don't clean up, they should be warned and then doored, and committee will back you up on this - [BOB]: I did this previously, and the decision was reversed by committee - Committee will back you up this time Discussion ---------- - [SAS]: Recap: - Wipe down benches, and couches and chairs if neccesary - Some disagreement from attendees about "if neccesary" - [SAS]: Wording will be adjusted - Vaccuum the room - Check drink slots for being empty - Closing the room - Push in chairs - Rubbish in the room should be taken out - Coffee table should be clear - Project bench should be tidy - Bins taken out - [PJA]: If we can't do the things, can we apologise - [SAS]: Yes, apologies should be sent to committee@ - [MVP] clarifies - it's couches and chairs that are "if neccesary", not benches as well, and now that he understands what was inteded and agrees - [BLZ]: Is there a grace period? - [SAS]: Probably - [BLZ]: Referring to if I forget to, for example, clean the couches - [SAS]: There will be a grace period, I probably won't tell you what it is - The expectation is that you start doing these tasks now Expectations of Door Group ========================== - [EAR]: So essentially, the reason why we made this, > [EAR] yells at people in the loft - The reason why we made this, is because we can't take it up with a door member when they aren't upholding standards - You should be monitoring the clubroom - You should be able to sign people up - You should be able to assist with dispense - As for monitoring the clubroom, one of your responsibilities is making sure that things stay in the clubroom, eg. tools and tech - Also making sure that peripherals for computers are put back - Make sure blue cables stay plugged in - We need to ensure everything is treated with respect - People, property, everything - Noise is a big thing - Getting mad at videogames - Having arguments in the clubroom - [DJF]: Not even neccesarily about anger - [CHS]: Loud music as well - Tell people to calm down, and if they don't door them - Committee will back you - Keep shoes and feet off desks and couches - [BOB]: Couch arms will break internally if you stand on them - [SAS]: If you stand on a bench to get to the projector, wipe it down afterwards - Damaging any equipment in the clubroom or using equipment dangerously is absolutely a doorable offense - Personal hygiene needs to be maintained - [DJF]: For example, [JMA] stank, so we told him to leave and put deoderant on - Perfectly reasonable - If a member smells bad or hasn't showered, it is the door members responsibility to tell them to leave and put deoderant on, or use the showers on campus - And if they don't, door them - [MLG]: Does this follow through to clothes as well? Grubby t-shirts - [SAS]: If all else fails, just use common sense - If people are licking their fingers, or playing with their feet, or generally being gross, warn them, and tell them to wipe down their hands with hand sanitiser - Going into winter, if people are falling sick, coughing, sneezing, although understandable, makes sure that they are not sneezing/coughing on other people, and they have't got a stack of used tissues going - I want door members to realise that they are actually the face of the club, even if you're not a frequent door member. Make sure that you say hello to people, greet them. It's your job, responsibility - If you're going to leave the clubroom for a period longer than 30 seconds, close the door. It is acceptable to go to the toilet or otherwise leave for a period of less than 5 minutes and leave one or two people int the clubroom - [BLZ]: If two people door each other, how is it to be resolved - [SAS]: Will be resolved at the next committee meeting - [AMS]: Standard for dooring should be 1 day - [TPG]: Don't forget that committee can veto a dooring - [BLZ]: Is there a doorgroup communication channel besides email? - [SAS]: No, because it probably won't be used, use #committee for now - Argument occurs about door members paying too much attention to videogames - [MVP]: Situation have occurred where people can't get dispense credit onto their account because the door members are fixated on videogames - [SAS]: I agree, but I think that it's up to door members to make sure that happens - [MVP]: Is it grounds for a warning if door members are too involved? - [SAS]: Yes - [LDT]: I'm not 100% sold on the idea of it being on door members heads if something goes wrong, because it's hard to determine wheter it was because of door members not paying attention - [MLG]: A few questions, one about food - What about people eating greasy food at keyboards? Should we not let them eat greasy food? - [AMS]: No, just punish them if they leave stuff messy, too hard to enforce - Attendees agree - Argument begins about what is an appropriate tolerance for offensive and potentially offensive comments in the clubroom - ... > Apologies for everything below this point being poorly minuted. There are > multiple reasons for this. Firstly, compared to the rest of the meeting, > this discussion was far less structured. People argued over the top of each > other and there were many side conversations. The discussion was difficult > to follow. This meeting was scheduled in bad faith to the member base -- or at least without sufficient thought. The technical violation of the constitution was 18.2, 18.6, and 18.7. Which require notice of the meeting, its agenda and its list of motions to be posted on the notice board at various dates before the AGM. (violations 1, 2 & 3) Further I argue (though by section 24 it is committee's interpretation), that it was additionally in violation of 18.2, for a second reason. To give that exact wording: "18.2 The Secretary shall make *all reasonable attempts* to notify all members using _at least_ a notice on the club notice-board for ten days preceding the meeting and an email sent to all addresses on the membership register at least ten days before the date of the meeting." I think that it can be agree that in todays period, making a facebook event would be part of "all reasonable attempts". Particularly given that a lot of our members are not checking there emails, given they are on holidays. After all, we have had UCC events posted on facebook has been done consistantly for several years. (violation 4) As a final point, a notice of meeting must include the location of the meeting. The notice send by email on the 14th of Janurary only includes the time and the date. If one would like a source for this requirement as part of the notice of meeting, see Roberts Rules of Order (as referred to in section 9 of the constutition). If you care the check page 143 (chapter 16.B) of the Revised Rules in Brief that is in the filing cabnet in the clubroom. This is apparently in the full Revised Rules 11ed page 459,11,18-19, but i've not checked. In general you'll find this requirement to be well expressed anywhere you look. (violation 5) Now you might say "No one ever does that". But actually, you would be surprised how often it is done. In particular notice is almost alwys written on the whiteboard, and most of the time the full process is followed and a printout is attached to the door board. and it is mostly put on facebook well in advance. And almost always the location is included in the first email out (and on the notice board) In anycase, normally I would not complain about it, because normally the meeting is scheduled at a reasonable time, and there is plenty of time for discussion the clubroom etc. Everyone is around and knows what is going on. That is not the case for this meeting. I feel the meeting was scheduled improperly, and with poor consideration. Having a meeting scheduled for a difficult time reeks of the NGO equivalent of gerrymandering. Controlling the outcome of the vote by preselecting who can and can't attend. Saturday the 28th is an *awful* time to schedule an OGM. You could hardly choose a worse time, if you tried. The reasons this time is inappropriate: - Outside of Semester (as a student club our meetings should be during semester if possible) - On a Weekend, in the middle of the day (When we normally have them on week days, or at least in the evening -- so many students work weekend days) - Over a public holiday adjacent weekend (Thus maximizing the chance that people will be going away) Nothing in the agenda is pressing. Except the election of the secretary. And even that has a 1 month window (And I suspect it would not be hard to rig it so that we can avoid electing any secretary until an AGM in week 1 or 2 of semsester) There is no need for these things to be done before O-Day or before the AGM. Note that in this message I have made no reference to the core content of the agenda, I've barely read it myself. And have been down this road before and I leave it to others to walk it again. But proper procedure should be followed to allow members to properly be able to consider the motions. That is after all why we have these rules. As such, I call upon committee to void the meeting on Saturday the 28th, and schedule a new meeting for some time after semester starts. Potentially separately to the AGM (since that does go long, it is true.) The rules for notice (both time period and notice method) were put in the Constitution to ensure that people had the opportunity to have a say, discuss issues before the meeting, and to prevent hijacks of the club by stealth meetings. As such, for this particular issue, I don't think people have had sufficient say, and there are a number of ways the business case could be improved (more emails to follow regarding that). On the other hand, I don't think it is reasonable to expect general meetings to only happen during semester, since that would shackle us from doing productive things for five months of the year, and would conflict with other requirements in the case of a vacant committee position. Having it on a weekend is not problematic in my opinion - it's no different to the times we ask our door members to attend cleanups. Also, in this particular case, the issue *is* time sensitive, because the new room will not be available indefinitely, and students suddenly get too busy to deal with such issues when semester starts. If committee were to agree, an alternate date for the meeting could be Feb 5 or 11. That would give us enough time to improve some of the details of the business case (such as costings) and make a better and more informed decision as a club. It's a bit sub-optimal on the notice portion of our constitutional requirements. However the idea that a clubroom move has not been a topic that members can discuss for more than enough time is an over reach. There have been arguments in committee meeting about this since before Committee break last year. Those mentions have been minuted and sent to both the relevant mail lists and posted on Facebook. There have been more than a few heated discussions on those Facebook posts. The motions put allow us to start submissions to SRC and say we have money on the table. Past that we've asked that the decision be reaffirmed at the AGM in March so we can know for sure what SRC will have to say and formalise another round of consultation. I understand the worry that people have about 'gerrymandering' the meeting, but our membership is vast and varied. Catering to the ideas of time sensitivity and full access of the membership makes a 'perfect' meeting time impossible. If there is genuine opinion that the financial and general detail of the motion and the business case are sub-par, then I think a physical meeting should come to that conclusion. In short, it was planned as such to give us the maximum amount of time to appeal the decision in the case where members chucked a fit. But we no longer need to do that, and time is on our side to apply for the room on our own terms. UCC (along with Unisfa and Unigames) has been great to me, it's given me a place to hang out, and before I moved out, a way to escape my unhealthy home. UCC has helped me out a lot, and I'd like to be able to help out a bit with the running of the club. It'd would obviously be nice to be able to hold the room for myself and whoever else is around, when that comes up. 2. I'm not going to say that I would make an enormous difference and revolutionise UCC, but having me on door, I'd be another pair of hands around to help whenever needed, keep the room open, keep it tidy, and generally make sure things don't go to shit. 3. On the UCC website, at ucc.asn.au, under information>UCC policies and procedures>UCC Door Group Policy 4. To take care of and manage the clubroom, both alongside and in absence of the UCC committee, as the isn't large enough to consistently keep the room open and? 5. Any committee member. 6. Through their UCC email address. 7. 55 8. The non-emergency number is 6488 3020, and the emergency number is 6488 2222 9. When the code to open the door is entered, the vending machine sends a "dispense door" command to the dispense server, which in turn sends a signal to the switch connected to the door's latch. 10. A door member could connect to motsugo, and use the "dispense door" command, or get the attention of one of the committee members 11. In theory, Oscar Hermoso, Alfred Burgess, Elton Rodriguez, Cain Nixey, Chris Forbes, 12. Making sure the room is acceptably tidy, no litter etc, nobody is still in the clubroom, along with their belongings. The soldering iron, lights, and fan must be off, windows must be closed, the tool cabinet and machine room must be locked, and the clubroom door must be locked. 13. If Cameron hall is empty, the door to the stairs and the fire escape must be locked. 14. You should inform the committee. 15. $0.09 16. $1.48 17. It is kept in /home/other/coke/ as cokelog 18. The first dispensed drink was a solo. 19. Oscar Hermoso is able to open the vending machines. 20. I would use the command "dispense slot coke:5 97 vanilla coke" 21. I would use the command "dispense slot (snack:53) Price dead" 22. The user's name has a capital in it. No usernames should have capitals, so the name will not be recognised. -------------- next part -------------- An HTML attachment was scrubbed... I want the club to be less reliant on loud angry members to remain accessible (and thus the club isn't held hostage by such members if they are attempting to transition the club culture) Unlimited power *What difference will putting you on Door make? More consistent opening hours Is closest by, in case of emergency I can bus tables and periodically clear people's rubbish. ==Policy Questions== *Where would you find the Door Group policy? https://www.ucc.asn.au/infobase/policies/door.ucc *Why do we have door members? Realistically, committee cannot be present all the time, or even most of it depending on the time of year. Thus, the committee selects "trusted members" who won't steal everything that isn't bolted down (incl bolt.cutters), as well as being able to operate as the "face" of the club. *Who should you contact with questions/concerns about the policy? Members of committee *How does committee officially contact Door members? Via UCC email, both specifically and as a part of doorgroup mailing list. ==Practical Questions== *What is the vending machine code to unlock the door? 55, unless it's changed. It's been years now. YEARS! *If someone is violent, refuses to leave, or otherwise poses a danger to people or property, you should call UWA Security. What is their number? Give both the emergency and non-emergency numbers. 6488 2222, and 6488 3020. However, those numbers should be available as just 2222 or 3020. *Briefly describe how the door system works (describe how the above code actually unlocks the door). Dispense sends a command to motsugo, which then performs magic, and the maglock unlocks. *If you are unable to unlock the door from the snack machine, how else should you open the door? Give both methods. Call unisec and ask nicely Get key from guild Ask one of the people who has the key *Who has clubroom keys on their person and who is able to get the clubroom key out from the Guild Student Centre? Ideally? I'm pretty sure Andrew Adamson has a copy of the key on him. *What needs to be done when closing the clubroom? New policy or old? Clear trash (both members and table rubbish), shut down computers, turn off lights, slam room door (thus locking it). *What needs to be done when leaving Cameron Hall? Is this the new policy or the old? Still, empty bins, turn off lights, check clubdoor, lock exterior doors. *If you are unable to correct an issue with something in the clubroom, who should you inform? Wheel or committee or both depending on the vagaries of the situation. ==Dispense Questions== What is your current dispense account balance? $0.18, though this may change by the time anyone reads this email (I do a lot of printing) What is the current balance of the account zanchey? $1.48 Where is the dispense log kept? /home/other/coke/cokelog on motsugo and mussel. I didn't test other machines What was the first drink dispensed this year? coke Name someone who is able to open the vending machines. Someone on committee, I'd hope. How would you rename slot 5 of the coke machine to vanilla coke? dispense slot 65 96 "vanilla coke" How would you disable slot 33 of the snack machine? dispense slot 33 "dead" What is wrong with this command: dispense acct Zanchey +500 "money in safe bag 54"? Incorrect username (capital "Z" instead of lower case "z"). Also, as far as I'm aware, safe bag 54 does not have zanchey money in it.
