The Agenda for the meeting will cover the election of a new Secretary (and any consequent vacant positions) and the following motion on notice: That the University Computer Club Inc.: (a) Endorses the recommendations of the Clubroom Modernisation Project as outlined in the attached Business Case; (b) Instructs the Committee to submit said Business Case to the Strategic Resources Committee of the UWA Student Guild; (c) Approves the use of funds from one of the three Term Deposits towards the fit and finish of a clubroom as allocated to the Club by the Guild, and; (d) Instructs the Committee to reaffirm this motion at the next Annual General Meeting. The Business Case discussed in the above motion is attached and should be reviewed by members before attending the meeting. Section 18.2 of the clubs constitution is as follows: "The Secretary shall make all reasonable attempts to notify all members using at least a notice on the club notice-board for ten days preceding the meeting and an email sent to all addresses on the membership register at least ten days before the date of the meeting." As you can see in the email below, only five days notice was given. A few members have raised this issue with committee via the committee@ mailing list in the past two days. At a committee meeting today, the committee elected to go ahead with the OGM tomorrow. I am told that all present voted in favour of such, and hence I must question the integrity of our entire current committee. I call on our president to honour the terms of our constitution as set by members, and for them to cancel the meeting tomorrow and to reschedule all agenda items for a later date. Notice was in fact given via email on Jan 14th, however there was not notice placed on the club noticeboard with 10 days notice, nor was a an event created on the club facebook page with the required notice. As a result the meeting is still technically unconstitutional, however the severity less so. My apologies for calling the integrity of committee into question, however I stand by my call for the meeting to be postponed.
