From corin.rowell at me.com Tue Apr 5 23:36:11 2016 From: corin.rowell at me.com (Corin Rowell) Date: Tue, 05 Apr 2016 23:36:11 +0800 Subject: [Unisfa] UniSFA Committee Meeting Minutes 05/04/16 Message-ID: <70B67D11-10E8-4A36-B4BB-AD9036C96DFF@me.com> Hey everyone~ So, there was a meeting today at 2pm. My apologies for not emailing out an Agenda beforehand, but our president was very sick and an agenda only got completed like an hour before the actual meeting? But here are the minutes, anyhow. Things for your eyes: - Toby will be screening Telltale?s Game of Thrones in the clubroom tomorrow evening (Wednesday) from 6pm, and that?s fun. Come along and make new friends onscreen and then watch them die! - Do you know any good books and/or graphic novels in UniSFA that feature an apocalypse and/or a dystopia? We have a featured shelf this month on that theme! Suggest a book or graphic novel to Toby or Reggie or whoever else you think should know and it might get put up on the shelf. Also try and leave a little review on what the books about/why you recommend it to other people to read. This is a thing we?re trialling, you should get in on that. Books are good. - I didn?t get anything else for here because I am very tired I?m sorry... Screenings for next week: Monday: Free! Tuesday: Game of Thrones Lets Play (6pm) Wednesday: Free! Thursday: Cam Reads Things (2pm) Friday: Cheesy Movies With Tim (6pm) Okay, anyway, onto the minutes~ UniSFA Committee Meeting 05/04/16 Attending: Toby Joske, Leah Chappell, Corin Rowell, Reggie Chow, Jono Astbury, Chris Larsen, Patrick Mitchell, Jake Alexander, Tim Haig Absences: Nobody! Agenda - Committee Report - Camp - Library Things - Money Things - Events - Shirts - General Business Begin: 2:09 1. Committee Reports President Toby got a disease and is really sick and can remember nothing else. She has been sick since she was born. What is life? What is health? There is only sick. But in spite of the disease she got lots of tiny, annoying things done. The committee is good at things and Toby is proud of us. Vice President Leah has good hair again. Also she sent a bunch of emails out and got responses for most of them. Went to speak to events twice and they may be sick of Leah but yeah that?s about it. Leah?s life is taken over by honours. Secretary I have been writing so many essays and assignments so I am very tired and have used up all of my words. But I emailed some people to get information about camp prices, that?ll be mentioned later. Also went on fridge run and Easter egg run. Treasurer Tim got unplagued (yay) by giving it to Toby (not yay). Wrote up a draft for the budget but it?s wrong because we found out that guild finance hadn?t put in a few transaction so we need to fix it but overall we?re fine. Also did an Easter egg run for the picnic, we got lots of eggs. Thanks Corin for helping (you?re welcome). Librarian Reggie put together a feature shelf which unfortunately fell down but we can fix it up again. She is still taking suggestions for books to go on the featured shelf if anyone has any. Has done up the labels for the shelves, but forgot to send them to Chris for laminating. Spoke to Quidditch people and they said if we want to then they can come down and set something up for us. Reggie will forward what they said to Toby. Fresher Rep Chris hasn?t done anything but it?s okay we love him anyway. Leah pointed out that he did the committee pictures for the fridge and he said he needs to change them but he?s going to do that. Chris is a little gem who we appreciate. OCM Report - Jake Jake read the constitution to see what we need to change in order to ?get rid of these stupid books.? He wants to talk to Frames (and someone else whose name I didn?t get because I?m tired) because they should know what?s up with that. Jake also talked to people about Prosh (we?re doing Prosh btw) and he did some stuff for quiz night. Quiz night EMP has been submitted so that?s all good yes. OCM Report - Jono Jono just got back from Proshlympics. He had to go home and shower after the games but he came second in twister and UniSFA did eh in everything else. Toby says that jock club is confirmed. He went on fridge run with Corin (that me). Also, submitted EMP for screenings on Prosh night even though the EMP was superfluous, it?s just nice to do. Jono pauses then remembers he wanted to ask exactly what is he supposed to be scanning and uploading to dropbox? Apparently, he will scan all forms we get now. OCM Report - Patrick Patrick turned 19, he?s grown. CCC Facebook page is finished now. *checks CCC form* Where?s the form? Oh, here it is. Most people have signed, or at least they will sign soon. Toby will also sign to confirm that the names on the form are actual people in the club and not randos. 2. Camp I had info on camps and prices c: Nanga - They have bunkhouses which house 100 people each, which may be too big and empty for our camp. Also Nanga is expensive - the cost is $36 per adult per day with a minimum price of $750 daily for bunkhouses and $100 daily for cottages (but we wouldn?t want cottages because gross queen beds). Leschenaultia - Pricing for less than 50 people is $30 per person per night, more than 50 is $25 per person per night (but these are 2014 figures so may have gone up). Benefit is that you get the whole camp so other people won?t be exposed to UniSFA. Quaranup - $25 per person night if we?re in the main dormitories, minimum charge of $590, but they cater. May need to ask for more information about that. They also offer fun games/activities for a little extra cost. (I personally like this camp because they have a little form of all the prices and it?s so organised). But it is far away? DARE - $30 per person per night, and also have to pay extra for any activities we may want to do. But do we even wanna do things like archery? Plus side is that the bunkhouses look like a good size: they have 36 people in bunkbeds. Cost is $30 per person per night with a minimum $600 per night. Question: Do these camps have projectors? I?m gonna say no and we?ll have to bring our own. That should be fine. Leah doesn?t like the idea of Nanga because its expensive and it?s also a big camp with too-big bunkhouses. Toby agrees. Leah does like Leschenaultia and Quaranup but also acknowledges that Quaranup is very far away. What about DARE? DARE is centred around activities that UniSFA may not want to go to? On the other hand, their bunkhouses do look good for what we want to do and we don?t have to do activities if we don?t want to. How many people will come to this camp? We looked at UniGames? camp attendance, but UniGames has never had camps before whereas UniSFA has had them before and Jake says that?ll make a difference. How many new signups do we have this year? Reggie says about 120/130. Toby says that since the camp is at the end of the year, we may have more active members who want to camp but also some members will be away at that time. Maybe we should aim at 50-60 people? In that case, it might be better to just book a camp with one big building. Leah likes Leschenaultia because we get the entire camp to ourselves if we book it. Toby doesn?t want to use the same site as other Cameron Hall clubs. Tim asks why it bothers Toby. Toby wants a different event. Tim says that the UniSFA camp will be different as it?s at a different time and will have different activities. Jake points out that the further away Quarunup is the less likely it is that people will go. Woodman Point - Someone just now suggested another campsite run by the same people as Quaranup but closer. It?s near Cockburn. If it?s near my house, I could potentially get my dog to visit for a day and she could be a committee dog. This idea excites some people because yes dogs are good especially when they are my dog. Anyway? This place is Woodman Point. Leah thinks it looks good. It costs $25 per night but we would have to pay for catering. They also have a day area we could book out for various activities and things because there?s not a lot of space actually in the dorms? So that?s something else to consider. The day use area costs about $120 per day so we need to do the math on that and see if it?s worth it. But it?s near a beach and it?s close and cheap and there is a rec room inside the dorms it?s just smallish. Toby says self-catering looks like it?d be hard to do in somewhere like Woodman Point? Also people would be spread across two separate dorms. Leah is unhappy with that, she wants everyone in the same building. But if the buildings are right next to each other, is that okay? It?s doable. It?s not the 100% best thing ever but it?s doable. Leah is now tossing up between Leschenaultia and Woodman Point. Basically we just need to look at geography, camp layouts, and prices. Did one of those camps have a rope swing? Yeah, I think Nanga does but we don?t like Nanga because it?s expensive and big. Jake is lying on the ground. I think he?s dead. No, he just said something so he may not be dead. Leah thinks this decision shouldn?t come down to pure math, but it?ll help. Tim wonders if we should we look at the cost and bring it up next meeting? Toby says yes we can do that next week. She?ll put together a bunch of info when she?s not dying of sickness. We also need to do First Aid Training for camp! Toby will talk to someone about a thing and maybe getting cheap training because she may have a lead. Leah wants to possibly get it done during study break . Jake?s lifesaving is current, leadership training is current, first aid is current. We need names for the camp! Plague camp? Reboot camp? Nerd camp for nerds? Terraretconned? Pterodactyl camp? We?ll work on that. 3. Library Things Did Reggie have library things to say last week but then had to leave? Reggie can?t remember. It?s okay, Toby is too sick to do much today anyway. Leah says that after the Busy Bee- Oh no wait, Reggie remembers things now. Reggie wants to do a library day to throw away any non sci-fi/fantasy books the library may have. Jake approves of this idea. The Busy Bee is on the 23rd, we can maybe have a library day on the Sunday afterwards or something and then after the book buy we can focus on shelving the new books. But it might be nice to do it while everyone?s here? We?ll see how things go. Book theme? Toby will probably make a Facebook post asking people to write book reviews and things on the whiteboard. We?ll just see how reviews and the feature shelf goes, maybe it?ll work out and maybe it won?t but we?ll try it and see. Shall we make a Facebook event for going through the library books? That way non-committee people know about it. Might be a good idea. Wait is the Busy Bee next week? That might be a bad day for Reggie to do library things but? We?ll make it work 4. Money Things Beanbags will happen one day? But it is not this day? Toby will talk to Tim about budget stuff later. The Easter chocolate is bought and in the cupboards. We need the money box key. Apparently it?s been missing since two years ago. So no money box key? Welp. Tim points out that we shouldn?t really be leaving it alone anyway? Maybe we can just get a new money box? Tim doesn't think we would need one but apparently it was annoying at Swancon to have no key and carry it around everywhere. But also you can?t carry it by the handle unless you can lock it so? Yeah, people could just steal the entire thing and saw open the lock but it would still be nice to hold the lockbox by the handle. Can Tim hunt down last years budget? This might be difficult because Toby says Megan doesn?t exist. Reggie remembered a thing: Book buys were budgeted about $1000 over two book buys. Picnics have been budgeted about $50 and she doesn?t remember the other thing but- Oh wait! Also budgeted about $500 for keeping the clubroom nice. Tim is cool with that. He?s just gotta remember that this year there?ll be a camp and that?ll cost money. CCC moneybags? Maybe we can keep track of them by making CCC check out moneybags and then we can just check in on them every month or so. Someone brings up the idea of a UniGames-style moneybox permanently in the room. Apparently UniSFA used to have something like that but then someone just took the entire thing. Attach it to the wall? But we can?t attach the box to the UniSFA wall. Maybe screw it to the bookshelf? That?s doable. Maybe we could remove some books and put the box on the shelf (Reggie tells Jake ?no? rather firmly). 5. Events: We need to add Prosh and the Busy Bee to the whiteboard. Shall we make Facebook events for those? Yes, we shall also post about them on the Fresher page. Has Chris posted about the Easter-ish picnic to the freshers? He has. 5A. Easter Picnic We got chocolate. We can get juice later. S?all good. 5B. Prosh Can we advertise for Prosh screenings yet? Yes we can, that?s totally chill. Toby?ll make a post on the Facebook page about that and also make an event for the screening. Chris, please post on the fresher page about Prosh screenings and Prosh costumes. Who is doing Prosh? Not me, I?ll be sleeping. Chris was going to not go but when he found out he can stay up all night at university he was more into it. Toby wants lots of superhero costumes. 5C. Sponsor Crawl We?ve emailed all of the sponsors so they know we get a discount and they know we?re picking up quiz prizes at the same time. Toby needs to work out where we get consistent discounts? Anyway, Patrick made the best Facebook event ever for the sponsor crawl. Good job, Patrick, you are a lovely human being. Leah wants to make a post on Facebook saying ?hey rec us some books you want us to buy?. Shall we make a google doc to take suggestions? That will almost definitely devolve into shitposting. Let?s just make a Facebook post. 5D. Busy Bee We need an event page for that? Toby will do that eventually. 5E. LARP Toby needs to do more with LARP stuff and read some rule things - Leah will help with that. Someone whose name I didn?t catch is working on worldbuilding so that?s nice. Leah will go see events again (sorry, events) because basically the way UWA is set up is that to book various areas we go through sub-organisations. So, before we fill out an EMP on what?ll happen with the LARP in each area, we need to figure out who?s in charge of the areas and talk to them. Should we go off-campus? Nah, that?d be too hard. Like, we?d need to find an area off-campus that works and then actually book it and effort is gross? Toby said the ballpark figure for the LARP sounded really large. The suggested ticket price was about $15-20 which others thought sounded reasonable because it will be a big full day thing. On the other hand, the cheaper it is the more people will come. What numbers will we get? Maybe we could make a post to gauge vague interest levels in the LARP? Tim says he prefers a price range of $15-20 just because it?s the first time we?re running this sort of thing and higher ticket prices mean less of a potential loss. But also we wanna encourage people to go, says Toby. But from sounds of it LARP is usually much more expensive than what we?d be charging for a solid six hours of fun. With so much work going into this, we should advertise the Hell out of it so we get good numbers. Could we do a club thing with the medieval club, asks Reggie? Toby says she?s been thinking about doing that and we?ll talk about that more when we have more info. She knows we?re definitely collaborating with UniGames, but it would be good to reach out to other clubs as well. Toby will look into it. But right now, we?ve capped out numbers at the 60 and the times?ll be either 2-8 or 2-10 depending on how many people turn up and how into the whole thing they are. Ticket prices will depend on how we set the day up, but the idea is that club members will get cheaper tickets. leah wants to find out, if there?s an indication on interest, if people want to turn that LARP weekend into a sort-of camp weekend. Toby worries about profits? Leah wonders about maybe one day having a marathon screening and then a LARP thing the next day. Toby does want to brainstorm more lowkey stuff. Leah just wants more events over breaks and in the second semester. 5F. Quiz Night Taylor?s written up a few quiz-night-related guidelines and things, but basically thet most important thing is that if theres a dispute or something, the Quiz Night subcommittee has final say on things related to Quiz Night over other Cameron Hall clubs clubs. Toby?s okay with that. So that?s fine. CAN PEOPLE PLEASE TALK LOUDER IN MEETINGS, I?M DEAF. 6. Shirts Tank tops??? Jake, be quiet. Toby wants to run a profit on UniSFA shirt. Did UCC make a profit on shirts? Jake says that yes they did. Where did UniGames get their shirts? They pulled some connections, but we now have Oscar?s little brother who actually produces shirts somehow so that?s a connection. Oh man, $13 shirts?? That?s a good deal. Toby also has friends who do dirt cheap shirts for their bands. We?ll look into shirt things and discuss it more next week. That?s it for shirts. Wait no, shall we use the current logo for shirts? Yeah, ok sure. Shall we add in 2016? Yeah, sounds good. Fun tag line? Jake doesn?t want fun, he?s too tired. Toby wants a shirt with her face on it. I also want my own face. Committee all gets shirts with someone else?s face on it. What about the OK emoji? No, this is madness we shouldn?t play God. Should we change the logo, though? Toby thinks its okay but? If anyone can think of a a better one then let us know. Most people are just too disinterested to change it. The yin and yang is meant to symbolise the good and evil theme in may fantasy and sci-fi novels, but some think that?s lazy symbolism. But it does have history with the club so whatever the logo probably will not change unless someone is really passionate about it 7. General Business Pat and Chris are in charge of CCC pictures. They will do that, yay. Corin? Forms? Yeah, forms. They?ll go into a binder, now. I?ll sort that. QD is having a quiz night! Maybe it would be nice to have a UniSFA table at their quiz night? Yeah sure, we have lgbt+ people in the club. We also have people who like quiz nights. We can maybe gauge interest using the Facebook page because what else is Facebook for? Finish: 3:06 Action Items Everyone - Think of good camp names. Toby - Get better please; Put together comparison sheets on prices/location/facilities on the campsites; Talk to the person you mentioned about maybe getting cheap-ish first aid training; See if people can write reviews for books on the featured shelf; Find out about moneybox key or new moneybox; Post on Facebook and make an event for Prosh superhero movie screenings; Also an event page for the Busy Bee; Do LARP things; Look into shirt things; Look into QD quiz night table Leah - Make a Facebook post asking for recs for book buying; Do LARP things. Corin - Figure out a binder to put forms in; Do your essays. Tim - Talk to Toby about budget stuff; Hunt down last year?s budget. Reggie - Forward Quidditch people?s email to Toby. Chris - Post on the fresher page about Prosh superhero movie screenings; Do CCC pictures; Change committee fridge picture. Jake - Continue having no fun. Jono - Please have fun. Patrick - Do CCC pictures. ?????????????????????????? Have a great day today, everyone! Chaos is all there has ever been. - PROSH - Other Events - Camp - Shirts - General Business Begin: 2:35 1. Committee Reports President Toby is late. When she arrives she gives the following report: ?Learnt to do Koha things. Tried to fix Koha. Looked through all the library things and books. Realised the library is chaos, looking into fixing this third-hand organisational nonsense. Yelled at people about the library a lot, reorganised the TARDIS a bit. Looking at clearing the dungeon. More of my zany screenings. Made a PROSH event. Made a screening event. Looked into shirt things. Spent way too much time being in and organising the clubroom. Added some stuff to the feature shelf and set up a review board, encouraged member reviews and it all looks great and is really happening. Waifu of the week [is a thing that is going well]. Looked into first aid - my lead no good. Made QD quiz night table happen. Tried to organise larpmittee meeting. Made busy bee event. Jack did the feature shelf label. I got ?thank yous" for my swancon volunteers Vice President Leah was in Brisbane over weekend for a family reunion (Jake says ?gross?) and it was weird. Made Facebook posts about things. Went shopping with Jono for stuff and that was fun. The Claremont Bunnings is good. Secretary I have done nothing because I?m very tired and have had a long and stressful week. Because I am tired and stressed, I am angry and miserable. Do not talk to me unless it is about small, fluffy animals (like this very friendly dog I met at the IGA this weekend). Treasurer We have money. We are making money. (What? Gasp!) Even after taking out money for the Sponsor Crawl we?ll still be in positives for the year at this rate. Chased money box key but it?s too hard to find so it?s not worth it. Will bring it up later if it matters. The key lost. It?s gone. It?s been gone for a long time and nobody nows where it is and who cares? Otherwise, will work on a proper budget. Asked previous treasurers about budgets but they had to wash their accounts so they haven?t gotten back to him. Librarian Ummmmmmm so Reggie has made pretty laminated labels for the library (thanks Chris for laminating them). Also working to replace library?s letters but there are so many letters and it?s hard. Koha is working again! Yaaaaay! Fresher Rep Laminated stuff for Reggie. The freshers are still dead, we?ll need a decent wizard or cleric to res them. OCM Report - Jake Hello. Jake did some stuff for quiz night. He?s also fixed aliases for committee members, so we should start getting random emails now. Got movies to screen for PROSH night. Yay~ OCM Report - Jono Jono has done some stuff. Yesterday he had a big shopping tip with Leah and had to get out money twice because maths is hard? He put up Firefly posters? Quiz night is on track, tickets are for sale now. Will bring up the tickets later. Also filled up beanbags with beans. We have lots of beans. We are full of beans!! OCM Report - Patrick We love Patrick. 2. The library is chaos. Chaos is all there has ever been. I got distracted because someone commented on my fanfic! ?What is this silly smile on my face? Why is this so perfect?!!?? the comment says. Anyway? We want the dungeon cleared, but we can do that next library day. Will that be this week? It?ll maybe be after the Busy Bee because people will be in Cameron Hall already and we can ask them to say. That?s on the 23rd. Maybe at 2/3 o?clock start clearing the library? We also have to look through books. We have already started looking through books! Koha is fixed and we?re happy so we can check what books we have and what we need to get. Thanks Blair and Bob for that. Blair says there may be bugs, but hopefully they?ve been squashed. If there are any problems, just contact Blair because he is our first point of call now. Also he wants to change the guest account on Koha. Basically, we shouldn?t log un using 9999, we should be logging in with our own account (that we will get) so this way they know who is checking books out and changing settings. This adds accountability. Also, the 9999 account has more power than anyone should have. Blair will let us know when they look at deleting the 9999 account, it?ll probably after all of committee and CCC have accounts. We should all should know how to add members, check out books, and possibly how to catalogue books but that?s not necessary. Has Jake looked into changing the constitution in regards to possibly getting rid of books? Jake says we can change it but there?s more than one bit of the constitution that needing changes so it?ll be a lot of work. He needs to talk to Frames about that. A lot of books that aren?t on the shelves and are actually somewhere else are set to ?in transit? in Koha. Blair says it might be better to have their location set to a different library and that way we can organise where books are being kept in off site storage. Reggie also says things about reshuffling books. On the Busy Bee, as well as library things, Leah wants to get rid of useless things in the brown cupboard so we can shift some food storage over and some books can be stored outside there. And then yay we get more space in here and things can be better organised. And it?ll be good. Reggie?s main issue with the library is that all the bookshelves are different sizes and its hard to categorise books but she agrees that reshuffling is a good idea. WE can potentially do that after we?ve sorted through books and added new books in. With lots of people helping it shouldn?t be that difficult. Toby wants to find a dedicated person to get all the Koha tech know-how so we don?t have to keep working through a three-person system sorta thing? Leah wants Blair to pass Koha thing onto someone who is here more often? Or we can make an agreement with UCC so they can handle our tech stuff? Who knows? We want something? 3. PROSH It happens. The clubroom is open all night until they start handing out money tins, and there will be screenings in the clubroom which are superhero themed. Jake is running those, but he only has two movies and we need more movies. There will be energy drinks in the clubroom and maybe a food run later. Reggie has twenty superhero movies but her hard drive?s at Trent?s house. Jono has movies, Jake can use them. Deadpool? Deadpool!!!!! Antman? We already watched that? The screenings will start later because Jake has a pantomime rehearsal? But the room will be held open. It?s gonna be good. Who?s going to PROSH? People are going to PROSH! I will be asleep. My superpower is having a good uni schedule. 4. Other Events Easter Picnic - That?s this weekend on the Sunday. We have chocolate and we have cups. People should come to Pioneer Women?s Memorial and hang out. Bring food if you want, it?ll be gr9. When Tim was talking to Laura about budgets, she noticed we haven?t been doing the ?bring gold coin donation? thing we apparently used to do. Tim wants to start doing things for that. Leah says she ran the Easter Picnic the year Laura was treasurer and there was no gold coin thing. But she is happy to ask for gold coin donations. Tim says to say on the Facebook event ?please bring a donation but you don?t have to, also your own food?. Leah says yeah okay. A donation will be appreciated but not mandatory. Busy Bee - On the 23rd of April. We?ve got an event page up on Facebook for that. Leah made a post on there about extending the Busy Bee into a library day and how it would be nice to have people help out with book stuff and also cleaning is great. Sponsor Crawl - On the 30th of April. We?ve got a budget for that. Reggie and Leah are making a list of things to buy for the club. Reggie will upload the book list onto dropbox/deepthought. Jono said he updated that list? He hasn?t replaced anything, he?s just added new stuff to it. Says please don?t disregard it entirely because recent recommendations are on there. Reggie has apparently also done that. Leah doesn?t care as long as there is a book list somewhere. Anyway, the sponsors been emailed about the crawl and they?re cool. We?re meeting at 11 near the cactus. Some sponsors are giving discounts, people should come buy things. Also we?re picking up extra prizes for the Cameron Hall Quiz Night. Jake will give Leah a list of extra prize things?. Jono says they want fewer prizes but more impressive ones. Also, prizes that are good for a table of 8 people. so 8 small things? Quiz Night - A week after the Sponsor Crawl. Jake has tickets! UniSFA has 30 tickets to sell. They cost $15 each and $100 if you buy a table of 8. Can we sell more than the 30 we have? Yes, there are a spare 40 tickets in the UniGames cupboard. The Tav?s capacity is 200-ish and there 160 printed so you can maybe sell more than we?ve got. Ryry made the tickets and they?re great. I, personally, think they?re beautiful. When the tickets are sold, tally how many are sold on the slip of paper in the bag, a seperate tally for individual tickets and for tables. Only committee members can sell the tickets. Also keep all the Quiz Night money in the smaller money box because it?s completely empty at the moment. The little money box is now only for Quiz Night tickets and Quiz Night money. Reggie?s concerned because what if someone gets muddled and accidentally take money from the little money box? We can just put a sticky note on it saying ?Quiz Night money only?. Jake looks for a sticky note but can?t find one. Chris buys a ticket. What a good Chris. What if someone wants to refund a ticket because they want to buy a table? Uhhhh well we?re obligated to return money? Just deal with that on a case-by-case basis. Write everything down, and communicate with Jake or Jono about it. If there are any issues, just send them to someone who?s on Quizmittee. Can Chris organise a fresher table? Yup. Okay. UniSFA Goes - Jono is distracted. What? Yeah. He?s on it. It?ll happen. We can?t advertise but there should be a thing at end of may hopefully yes yes fun. Leah has a list of other events but she forgot it? Oh shit, LARP! LARP - Leah needs to chat with Liam about different areas because they gotta write what we wanna do in specific areas and then submit the EMP. And then we can organise any posters we wanna use to advertise. Other than that, it?s coming along nicely and will probably happen. Anyway? We think that?s it. 5. Camp Toby was going to look up specific prices? But she?s not here yet so we can?t do that. Leah?s happy to put that off until Toby?s here or next week but we have plenty of time. It?s not high priority at the moment. But once we have prices, Leah may go look at different sites to check them out and if anyone wants to go then that?s a thing they can do. Okay we?ll just discuss this next week? 6. Shirts Dammit, Toby was gonna do things with shirts? Toby is here now! Toby looked into leads. The screen printing doesn?t look great, it?s not super durable at all. She has friends who make shirts for their band in a complicated setup and either we can buy things and do it ourselves (it?d cost bit) or they will do it for us at $5 a shirt. And that?d be cool, you can just bring in your own shirt to be printed on. But they?re not super reliable people? But it?s still an option that could be a thing. Jake says that UCC?s Oscar?s brother does something with shirts. Jake will go and ask him about quotes and send the details over to Toby. He doesn?t know what kind of printing though? But he thinks not screenprinting? Yes. 7. General Business Can we have a nipple ban in the clubroom? Jake? No! Don?t ban the nipple! Jake protects his nipples. Money box? Tim thinks getting a new money box is not that high of a priority because we shouldn?t ever leave the box alone anyway. Leah says it?d be nice to carry the box by it?s handle. But is it worth the money for that little bit of convenience? A money box rather than money bags? Tim says that this whole losing-money-bags thins is new. It didn?t happen with Laura or the treasurer before her. Jake still thinks it?s a flawed system to have money in 15 different pockets. He says why not just do a system that does work (see: UniGames) where it?s all secure in one place. Tim says moneybags are the devil we know. Leah asks if the resistance is that its not worth changing? Tim says he doesn?t understand why we?re changing. It?s because instead of many money bags, this would be a single, secure box emptied very often. It would solve issues of not having correct change and needing to break large notes. But if Tim thinks its not worth it because its a bad idea then Leah wont push it. Tim will look into the situation, but knows there will be pros and cons. What cons? Someone could take the entire box. What about bolting it down? Tim guesses? But also do we lose that much money from people without enough change? Change for a $20 is the smallest amount we can get from UWA ATMs, we should be able to break those? Leah asks Tim for a pros and cons list about this because she genuinely thins it?d be worth changing but? Who knows? We have posters now! And the book/comic review board is good, there are lots of apocalypse and dystopia themed things. We?re getting reviews, send in more reviews. That?s fun. Fining people who don?t hand back library books? Yes, God, please?. Because at the moment the only punishment we can offer is saying ?we are disappointed?. And it?s annoying finding books that are ?checked out? from like 2006, that?s basically the same as losing the book and it?s bullshit. We need a proper late-return fine and if they?ve lost it then we need a proper way to fine people for that.We don?t know what level of fine would best but we just gotta do that. Taylor suggests a charging the price of the book. Leah also wants to charge a fine on top of that price, like come on we?re maintaining the library please don?t steal our books. And now everyone is talking about video rental stores. Back on topic? Reggie should look into fines, that?s the librarian?s job. But yeah. Money bag system? If we keep the money bags, Tim?s idea is that at committee meetings he?ll check committee members?s moneybags. CCC can show Tim their money bags some other time during the week. If someone can?t show Tim their money bag because it?s lost or at home, they have a week to find it. If they don?t find it then they get fined. Taylor suggested people have to put their money bag back in the brown cupboard before leaving the building. But CCC don?t have access to the brown cupboard so? A money box would be good, Leah is sold on that idea. But this is what Tim wants to do in the meantime and also it sets a precedent for losing stuff. Fine-wise, Tim thinks people?ll have maybe $20 in their moneybag and if people on CCC lose their bags twice then we fine them $40 and kick them off of CCC. Committee members? What about them cos we can?t just kick them off so easily. Maybe if they lose their moneybag twice, we just take their moneybags and take them off door. Anyway, that?s the system that Tim will put in place if we keep moneybags so yeah. Toby arrives late and suggests maybe signing out moneybags? Tim explains his ideas again. Toby worries that a week is too frequent for checks and too much work for Tim. Tim says ?nah?. He says he should do it every week anyway. Toby is also concerned about the moneybox? Whatever, Tim will mention the moneybags idea on the CCC page and say it?s starting next week. I was briefly distracted by mandarin and pretty girls? Anyway? Leah wonders if it?s worth giving the CCC access to the lockbox and purring keys to the clubroom in the lockbox. Leah doesn?t like running up and down the stairs to come and open the door. So yeah, maybe use the lockbox and set up a new code? Also, please remember to properly scramble the lock on the brown cupboard when you?re done with it. We?ll look into getting a more complicated lock for the brown cupboard because four letters is not that hard to crack especially if it?s an actual word?. Sorry, I got distracted again. Taylor is saying something?. I missed the start. Apparently she?s talking about a bunch of inter-club regulations for things but it?s okay it?s cool. Leah says everything is fine. It?s jsut exactly the same rules as before but now they have actual stuff to fall back on. TOBY IS HERE!!! She says nobody is dead. This is good but also mildly disconcerting. Anyway, things Toby said previously in the minutes are not in the order as she?s only just arrived. Toby says we need someone to do Game of Thrones screenings when the new season starts. Jono can?t do that before the Panto performance. Maybe those screenings will be on Monday night because that?s free. Toby will bully someone into doing that. Leah was gonna say something but forgot? Grants! Has Tim been looking into grants? We should just apply for anything and everything that looks vaguely possible. We can maybe look into grants for the LARP? But for most events we won?t get anything. Toby says to apply for anything anyway because it doesn?t hurt and free money is good. Leah wants to do a first-aid training thing, preferably in the same week as Leadership Training. But that?s chaos fortnight for Toby. Jake says it?s unfair that Toby has a whole fortnight of chaos all to herself whilst we chumps only have a week or less. But yeah, Leah wants people with first-aid training for LARP so the EMP can be submitted. Immediately after the study break would be fine for Toby. Problem is it?s a full-day course? Toby looks conflicted. Leah doesn?t want toby to die. I suggest maybe having first-aid training over the study break just for who are available. Leah could maybe rush people into training on Monday? But otherwise we may have to put it off until later. Jono says ?is this money?? Yes, Leah confirms that it is money. We can maybe see if Guild can subsidise it a little because we do need this for a bunch of events. If Guild can?t help, UniSFA still should help pay for peoples? training just a little bit. Leah will post on the committee/CCC Facebook group and also talk to Guild because we need this shit done soon. Has anyone who wants to go to Leadership Training not signed up? No? Has everyone got confirmation emails? Tim didn?t see one and he?s worried now. Are they in his spam folder? He?ll double check. But we all got one? Patrick isn?t here and Toby will check with him that he?s also signed up. Finish: 3:39 Action Items Everyone - Something Someone - Something etc Toby - Bully someone into putting on Game of Thrones screenings; Check if Patrick has signed up for Leadership Training. Leah - Make post on Easter Picnic?s Facebook page saying ?Gold coin appreciated, also bring food if you wanna?; Discuss with Liam what areas of UWA will be used for what in LARP and then submit an EMP; Find out when people are available for first-aid training and try to book that; See if Guild will help pay for first-aid training. Corin - Hi. Tim - Draw up pros and cons list of switching out moneybags for a moneybox; Let people know about new moneybags policy; See if we can get any grants and apply for all of them. Reggie - Think about stuff we need to do to the library on the Busy Bee day; Upload booklist to deepthough/dropbox; Think of what sort of late-fine would be good for the library. Chris - Organise a Fresher Table for the Cameron Hall Quiz Night. Jake - Talk to Frames about possibly constitution changes; Find out about Oscar?s brother?s shirts and what?s up with that. Jono - Hello. Patrick - Hey. ?????????????????????????? Have a great day today, everyone! Also, because I am sick and tired I can?t think of many things for your eyes. Check the UniSFA Facebook page to double-check if there are any upcoming events you wanna go to. Thing For Your Eyes: - Cameron Hall Busy Bee is this Saturday from midday! Please turn up to that and help clean up our clubroom and the common areas if you?re available. And after that is a library day, if you are coming to that maybe bring a laptop so you can help catalogue books! Okay I?m too tired for this let?s get onto the minutes? UniSFA Committee Meeting DATE Attending: Toby Joske, Leah Chappell, Corin Rowell, Tim Haig, Reggie Chow, Chris Larsen, Jono Astbury, Patrick Mitchell Absences: Jake Agenda - Committee Reports - Library/Busy Bee - Events Past - Events present (screenings/Cat's art things/book club) - Events Future - Camp - More thins that Toby will think of when she isn?t dying from uni work - General Business Begin: 5:41pm 1. Committee Reports President Everything is due at once and Toby is so busy help please help her. She has a lot to do so we?re gonna try to breeze through everything today. She is probably going to be working on her essay during the meeting as well. Leadership Training was okay, and we all have more tomorrow. Easter Picnic happened and it was good. We have too much chocolate? Vice President We?ve run some events, had PROSH night and Easter Picnic. Leadership Training was okay and Leah is very excited to go back tomorrow? Can?t remember other things that probably happened. Oh yeah, first aid. Leah sent an email off to current SOC president about cheap first aid training. They have some either end at the of 1st semester or at the start of 2nd which is good for camp but not so good for LARP. She?s looking into that stuff, so UniSFA doesn?t have to worry so much about that right now. Also we need to look into RSA training as well. Secretary My head hurts real bad right now. But hiding eggs at the picnic was fun yay. Leadership training was not as fun but we gotta do it. Treasurer Leadership Training is a thing? Also we have money. Tim is working on the budget and we?re making money just from events but things need to be approved upon so we can make more money. Librarian Who is Jake? Reggie went to the Easter Picnic and ate a lot of chocolate and then brought some home and made chocolate peanut butter cups. She spent the weekend with Leah doing library stuff so thank you leah and thank you everyone else who was at the library day. Reggie has already done Leadership Training so she did not suffer. Fresher Rep Chris is kinda bummed because he?s a regular at UniSFA but doesn?t think there are many other new people. People assure Chris that there are indeed multiple freshers. Chris feels better now. He also says the fresher bodies in the beanbags are starting to stink and we gotta sort those out. OCM Report - Jake Jake says goodbye. OCM Report - Jono PROSH destroyed Jono. Then library day happened and he was there. Jono was at all of the events that have been mentioned so far and he?s nearly got the ice-skating EMP done plus tomorrow he?ll learn risk assessment and that?ll make things easier yay. He?s going down south soon though so he?s busy this week. OCM Report - Patrick Patrick spent the day at Leadership Training. It was well-lead by some people and enjoyed by even more. He hasn?t attended many UniSFA events because he works weekends and money is important. Went with Leah to Guild to find out information about first aid. There?s a campus-lead group for the med students, people in that have first aid certificates and you can hire for events so that?s also an option. 2. Library/Busy Bee Reggie has made plans for this year Short Term Plans - Enter all book donations into KOHA (we have done about half of them but the other half is not done and needs to be done at some point in time); eventually we?ll move the anthologies and fanshrines to the drinks cupboards and the drinks can go into the secret cupboard (we have a cupboard in front of UniGames that was filled with books so we?ll enter those books into the system and then yeah). Long Term Plans - Want to do an audit and make sure all books that are in the system are ones we actually have, but we can only do that when all our books are in the system and in order, hopefully that can be done before next semester starts; can?t remember the other thing? Reggie?s phone is dead so she can?t check the list. Reggie can message toby later. Reggie has come up with ideas for dealing with unreturned books. She doesn?t want to do fines because that could potentially prevent people from returning overdue books cos (?oh no, if I return this book now I?ll get fined so I?ll just keep it and never go back to the library every?). She?s been thinking of maybe suspending memberships after a few warnings. So, give people a week and a warning. If this book is not returned in 3 weeks then they either have to pay to replace the book or are banned from events/clubroom. The problem is that lots of UniSFA events don?t require people to be current members (but Toby wants to look into that anyway). Maybe just ban them from using the library? Koha already does that automatically. But we don?t want members to not be able to go to events if they?re unable pay a book fine. Basically, we just want the book back. What if people don?t admit they?ve lost their book and stop turning up to the club completely? That may happen anyway but the bottom line is that we have books we really would like back. What if we hire the A-Team? No let?s get Judge Dredd to hunt down the books! Jono leaves to get bread. Toby says everyone who helped with library is great. The Busy Bee is on Saturday! Toby may still be crying about her assignments on that day. However, she might go anyway so as to attend the meeting before the Busy Bee. Toby no please don?t fail units, that?s bad. I can attend the meeting, because all my assignments are done and I don?t have anything to do that day anyway. So yeah, I?ll go to that. Everyone else, please attend the Busy Bee. With regards to fines, Leah thinks imposing any fine will require a constitution change and will need to be introduced at a meeting so we have time to go over things before then. Maybe Reggie can make a post on the committee group with potential ideas and we can narrow things down. 3. Events Past PROSH was good. Easter Picnic was good. Leah wants to tell the next committee about potential changes to make events better, so wants people to let her what can be improved on in future. For example, we spent too much money on eggs for the Easter Picnic! Also she?d recommend double-checking dates because this year there was a thing going on in the area we wanted to do our picnic. Be careful with that. Leah says I hid the eggs good (yeah I did). 4. Events Present Someone needs to screen GoT because it?s starting next week! Leah thinks Monday will probably be a good GoT day. We want Book Nerds to run, perhaps as a monthly thing to coincide with the book theme. Cat Coetzer wants regular Arts Nights, Leah thinks it?d be good to swap those nights out with Book Nerds. Didn?t someone want to screen Onepunch Man? Yes! There are too many things! Maybe we can alternate Book Nerds with Art Nights and free nights? So it would go: book nerds, free night, art night, free night, repeat. Maybe? Last year, Book Nerds was on the same day of the week every time and clashed with peoples? work etc, so maybe we can swap Book Nerd nights out with other screenings and things. At the moment, Toby?s priority is Book Nerds because we want more people reading. Who?ll screen GoT? Tim can do Monday night but not this coming Monday because public transport will be terrible. Also, someone will need to acquire the episodes. So, if people are fine for the show to be delayed a week then that?s fine, or else someone will need to screen it that first week. Maybe it can just be a ?hey, if you?re available then please step up to screen GoT? kind of dealio. Who sells coffee? We discuss coffee for like ten minutes. Book Nerds still needs to start being a thing. Who will do it? Jake? Edward? Me? We can talk about that. Later. But it?ll be a thing Toby is tired? 5. Events Future The Busy Bee is this Saturday from 12 onwards. If enough people show up then it should be done quickly and after that we can have a library day. The library day this coming week will probably be cataloging the rest of the books so please bring laptops and maybe have a UCC account. Someone needs to post about that on the Facebook page. The week after that is Sponsor Crawl. Leah wants a list of things we need to get for quiz night prizes. We also need to get money out (separate money for quis night prizes and things for the club). Reggie suggests prizes that are new-release books. The details of prizes is a quizmittee problem. Chris is organising a fresher table for the quiz night. Maybe just UniSFA freshers? Or could it be freshers from all of Cameron Hall? He post about it online and maybe just generally mention it when he?s in the clubroom. It?ll be a good way for freshers to meet each other. Chris recruits James for the fresher table in the middle of the meeting. Good job. Fresher-oriented event? Toby wants to do one of these. It?d be nice to do a bbq and screening or something, just to go ?hey freshers you exist and we appreciate you.? Maybe we can hold an event where the freshers get free entry or food but everyone else has to pay something? We?ll think about that. Will the fresher event be between quiz night and ice skating? Who knows? It might be nice to do a de-stress event or something? In the lead-up to exams? Reggie says we did that last year: something involving snacks and Nintendo games. What time are exams? Yes. Toby almost lets a bag of delicious cookies fall onto the floor, but we save it. What sort of destress thing? Obvious answer is a nice screening of nice things. Maybe it could be a pyjama party? Nice screenings and a pyjama party! Toby likes pyjama parties. Leah also wants to do something physical in the outside world but Toby wants it to be minimal?. You can still do something physical though whilst keeping it low-energy. We may have to get food app- GREAT UNISFA BAKEOFF! I like that idea because I suggested it. What about getting a UniSFA puppy? What about a tea party with people bringing in home cooking? That?d be relaxing. We just want relaxing. Toby thinks it?d be hard, but nobody else agrees. Toby is so tired. We can bring this up next time. We will bring it up next time. Basically, we all like the destress idea. Before we move off, Tim needs a budget for the ball/tav party thing we may do. That?s fine, he can ask Toby later when she?s more present. 6. Camp Can we hold next week?s committee meeting later on in the week? Because Toby will be less tired and there?ll be things to actually vote on. Okay. 7. Things Toby is tired and could not think of other things. We just move on. 8. General Business Money box idea! Tim made a list of pros and cons but left it at home. Did he come to any conclusion? He says he could think of very few pros to the money box but they are big pros. The cons for it are many but few and can perhaps be handled. Nic mentioned on Facebook that the fining system Tim proposed is against our own regulations (can?t fine more than $10) so we can?t do that. Toby says maybe checking money bags every week is too frequent. Can we set it to something more achievable. Fortnightly? It will be considered. Reggie has a question: how would we give change with a money box? If it?s like UniGames, the money box would not be locked or it would be locked but we?d have a key. Chris asks where we would put it? The current idea is that it would be bolted to the side of the bookshelf. That actually solves a couple of the cons on Tim?s list! Going back to the key idea, that?s also a con. It?d be a problem if the key gets lost. Maybe whoever hold room also has the key on them at all time and just passes it on to someone else when they leave. But what if the key falls out of their pocket? We could potentially have additional keys but yeah it?s a problem. Leah suggests using the lockbox again. Maybe we can store the money box in the lockbox and people would take it out when needed then immediately put it back again. Shall we have a money box with no key? That may be a bad idea because then anyone can come in and potentially steal he money. UniGames has this system, but there room is smaller than ours and set up in such a way that it?s very easy to keep an eye on the box at all times and make sure nobody is stealing. Does Toby have an opinion on the money box idea? She is tired. There are pros and cons to both systems. Just changing it won?t fix all our problems so we gotta be careful we?re not just causing a lot of work for no real benefit. Does toby want a lift home? No, she has to study and can?t study at home. Someone please buy Toby a coffee. Tim needs to read Nic?s posts about fines for moneybags before he says anything more on that topic. Toby says to hang tight and not to enforce anything unless it is formally agreed upon first. Tim will just keep checking moneybags every week. He will be in the clubroom a lot more often from next week onwards so this should make things easier. Maybe he can make a new post in the CCC page explaining his thoughts and adjustments with the fining system. It used to be that committee would just review people on CCC if they kept losing their money bags. Also, we only vote people we trust onto CCC so they are unlikely to take advantage of us so be careful about punishing them. The problem is that multiple bags have been lost this year and Tim doesn?t want this to become a thing? But we can sort things out next meeting when Toby isn't dying Here?s a thing! We found a bag of keys in the brown cupboard. Toby can?t wait to clean out the brown cupboard. If she?s not at the Busy Bee she wants to know if we can maybe wait to clean out the brown cupboard because she wants to be there. It may be difficult if we have books to move in there but we can see how we go. We need to do a fridge run soon because we are running low on things. Reggie has an idea for the next book theme! Since the Doctor Strange trailer has come out and it sucks, the next theme could be books and comics about decent wizards. This would make Jake mad which is an added bonus. Also, that?s an idea for a later theme: books that make you mad. We have an idea for a panel at the camp: ?Best and Worst?. So talking about the best and worst examples of character tropes, villains, certain genres, etc. We?re all the best and Toby says we?re doing great. She loves us. We?re all her faves. She wants to do something nice for us. Tn a couple of weeks she will try to organise a fun committee thing to do together. Toby is a good present and we appreciate all her hard work. Remember kids, you can have fun without alcohol! Tim?s cookies are delicious, bless him. LARPmittee meeting will either be Wednesday or Thursday. Toby wants to go to that but she needs to work on stuff and not die so Leah will go. Tim had a look at what was budgeted for weapon-making workshops so that is a thing. FLiam?s LARP group agreed to rent their weapons to UniSFA for $2 a weapon. This is good value, but weapon-making is fun and gets people involved. Plus, tape and foam are cheap. If we just buy piping and foam and tape, that might be fun. Plus if it?s sci-fi LARP then people can bring their NERF guns. Tim?s been sending budget drafts to Toby about that. We could organise a day to set down a rough budget for things, it doesn?t need to be exact. But Tim has already made a rough budget so hooray. He just needs to make sure we?re always making money from the fridge. We really need to get on top of fridge runs. Maybe we can set up a fridge run schedule? For the next fridge run, is someone free this week to to that on Thursday/Friday? Possibly Nic? Most of the people with licenses are busy this week. Tim will pull out money for that and figure something out. Toby?ll make out a doodlepoll or something to find out the CCCs? availability and we can then figure out problem times for when the clubroom needs to be open but nobody is around to keep it open. I?m tired. Finish: 6:39pm Action Items Everyone - Go to the Busy Bee and library day please if you can Someone (ANYone) - Make a post on the FB page saying ?hey please bring a laptop to library day if you can? ANYONE Toby - Don?t die. Leah - Ur pretty. Corin - Attend the Busy Bee meeting. Tim - Ask Toby about a budget for the ball/tav party thing; Post on CCC page letting people know what you?re thinking with regards to moneybags. Reggie - Message Toby the list of library things that need to get done; Make a post on committee fb page with book-fine-related ideas. Chris - I?m proud of you. Jake - I?m trying to think of action items but I?m really tired. Jono - This is hard. Patrick - Ha ha ha I wrote this action item with my eyes shut, go me. ??????????????????????????
