If for any reason you can?t make it and you are an ordinary member, you can either nominate another member to be your proxy or myself as secretary. To nominate a proxy you need to write on some paper, your name, what you?re voting on and the name of your nominee. This needs to be seen by a committee member and signed by the proxy. You can also nominate a proxy to vote on your behalf with or without specifications about how to vote. Meeting Agenda: 1. Committee Reports 1.1. President 1.2. Vice President 1.3. Secretary 1.4. UniSFA Committee Meeting 02/03/18 Attending: Annique, Jack, Natasha, Simon, Finley, Kurt and Theo Absences: Harry and Katherine Agenda Begin: 5:00pm 1. Committee Reports President Compiled the handover doc, general cleaning of clubroom, went to events, the book club for the fresher welcome worked very well, Oday happened, signed up to club carnival, signed up to the alternate club carnival that?s accessible, went to the unigames AGM Vice President Went to Oday, went to some screenings, went to fresher welcome, Unigames AGM Secretary went to oday, hosted a screening, sent out the AGM agenda, compiled the spotters guide, had the trauma of being asked if we were like the Big Bang Theory at ODay Treasurer Harry sent his apologies and this is his report Deposited o day money, Helped set up Fresher welcome, Hosted Thursday screening, Librarian Did a bunch of things, Oday, unigames AGM, ran a screening, ran the full metal screening, found a bunch of the mystery barcode books, signed unisfa up for UCC this year Fresher Rep Katherine sent her apologies but this is her report I helped out with O-Day, which was a good, met lots of freshers. Printed the fresher and spotters guides for it, I think we overprinted on the fresher guides, I?m not sure how many we have left over though. Probably too many spotters guides too. Made Facebook event for clubroom reopening, not sure about making one for the ?fresher brainstorming? thing, maybe just make a post in the group? Fresher welcome was a thing. Lots of people came, I mostly just sat in the loft making the fairy bread, but greeted the people around intermittently, they seem like a lovely bunch and I?m excited for them all to be around more. I?ve been telling them about the reopening, hopefully they?ll come. Want to encourage them to nominate for fresher rep - I?ll make a post. They?re certainly alive, and in good numbers (Annique has more details about Fresher Welcome, but the fairy bread went down well, and I?m glad it was a book club, but having enough seats and space is a problem OCM Report - Finley Ran a shitpost, went to Unigames AGM, thought about the Room a lot, just working towards the AGM, Oday OCM Report - Kurt Finished the fresher guide, supervised food production at fresher welcome, ODay, made the Facebook page, OCM Report - Theo Helped out at Oday, guild got back about logos, they had some questions and changes and went through them, should be ready before friday, went to unigames AGM, went to fresher welcome 2. Events * Fresher Welcome recap * went well, a lot of freshers turned up and the book club went pretty well. Should have had more space so next time in the loft, or a picnic or something. * loft would probably have been better but a lot of fresh people were good at finding the clubroom, it was good having strategic places for people to meet freshers, * Just a reminder to not eat or drink while reading a library book * gavin video finding cameron hall * ODay recap * Next time be next to unigames like we should have been * still went quite well despite guild screw up with where we were put * there was an idea put forward by a cameron hall person to make a cameron hall all access membership. It?s an idea to think about at least for next committee * more general fandom stuff as well would be good because a lot of new members may not know the more obscure sci fi/fantasy stuff * Simon wants to talk to more sponsors to get different deals, not just bookstores and maybe branch out some more. Something for the next librarian to think about * recommended book list in the fresher guide worked well, people got into it. * Alternate Club Carnival * One hour event, held indoors and made to be more accessible for people with less crowds and distractions. * held at Laws Moot court * pushing stuff that we do like holding book clubs in accessible locations, welfare week * It would be good to get some large print books as well although would need to work out what ones and where to get them * Prosh * Make an open poll about prosh theme, Jack will be on that * Unigames Election * It happened and now there is a new committee, * Hopefully a similar turnout for ours * Club Reopening * Harry has a list of stuff to buy from Annique * Will be fake champagne and general club interaction * Club Carnival * We?ve signed up for it and have confirmation about it * We?ve got the fresher guides for then * need to start setting up at 10:30, on Oak lawn * All stalls need to be set up by 11:30 * bookshelves and bean bags as usual * 40th Anniversary * Swan con stuff - 29th March until April 2nd would be a good time to announce different things * need to push next committee on things about it * AGM * Happening in a week and everything is sorted * So far no constitutional amendments 3. Screenings * Monday - Club Re-Opening * Tuesday - Electric Dreams w/Annique * Wednesday - Disney Video Essays w/Simon * Thursday - shitpost live action Teenage Mutant ninja Turtles w/Finley * Friday - Life is Strange w/Finley 4. Tenancy * Fridge * Unigames fridge is out in the hallway, we could get it * We?re okay with getting it so we can have a nice clean fridge * Cupboard reallocations are up * something for next committee to sort through 5. Finance Stuff * Oday grants * Harry has done it and will submit on the 5th when it?s due * Fridge Runs * Harry is doing one saturday to get stuff for fridge and club re-opening things 6. General business * Origami club * They want to do a collaboration event for Star Wars Day * May 4th so after the AGM so can?t lock anything down but still good to keep in mind in case of a star wars club * Handover * 40th anniversary should be put in a lot * Logo * Guild got back to Theo, there were a few questions and criticisms but it will be sorted before the AGM * Theo will follow up on Monday just to be sure * Facebook page * It is up and working pretty well * Should we do screenings on the page? Yes we will, it?s a good way for new people to come in and hear about the club * Making events in the page, and sharing them to the group, if we want to shift we can. Finish: 6:29pm Action Items Annique - changes to library handover, screenings event, AGM summary Jack - Make open poll about prosh, AGM summary Natasha - CCC post about club carnival, AGM summary Harry - AGM summary, fridge run, Oday grant Simon - AGM summary, screenings event Katherine - AGM summary Finley - AGM summary, screenings event Kurt - AGM summary Theo - AGM Summary, follow up on logos -------------- next part -------------- An HTML attachment was scrubbed... We are definitely going to have a stall at swancon this year if that's still available, and will be promoting the official 40th event later in the year. Quite a few of the committee is planning on running again, so I am pretty sure we can commit to it! Let me know how we would get this done :) Annique Cockerill Unisfa President On Feb 23, 2018 12:15, "Frames" > wrote: Hi all, sending this the Unisfa main-list and the WASFF main-list to get a good cross-over of people. It occurs to me that we should really have a panel/event about Unisfa turning 40 at swancon. I'm sure unisfa has a party or something planned for later in the year, but swancon is another great time/place to celebrate and reflect, particularly given something like 20% of swancon attendee's are oldguard (cryptoguard even). Maybe a panel with a couple of people from the current (/immediate past) committee. Maybe Gina and/or Dave Cake (who are both unisfa life members) could talk about Unisfa back in the time before time, And maybe Fe and/or Shay, or someone else from that generation, who were unisfan's at about the time current committee was born (scary isn't that? :-P) I'm sure we (well Jack Bridges and team, not me) can find a spot for it in the program. Maybe even a 1 hour panel, followed by a 1 hour of hanging out and chatting. Maybe unisfa can bring a cake. I expect unisfa committee is going to be a bit non-vocal right now, given they are a few weeks away from their AGM. But it doesn't really need the current (/future) committee much anway. I think Annique and the others who came last year had a good time, and hopefully will at least be coming back with a day membership this year anyway. Thoughts? Committee Reports President Quiz night, charity and uncharity vigil, larp, Halloween party, Space, UCC, Unigames, Panto, collaborations. CAMP!! Thanks to Eli. Got more involved in guild events like Fringe and accessible club carnival- a yes policy to everything new. Book club highlight of the fortnight (thank Leah) The kind of conversation drew me to the club and the Compactus project from beginning of the year due to Nic and Taylor. Room renovations - everything looks amazing, first years look at us weird at the mention of the dungeon, minimised the amount of storage space we needed, all our cupboards upstairs are empty now. Amazed at the dedication of committee. Filling knowledge gaps where we found them, and going above and beyond. Runner up best club award which was amazing and due to a lot of effort. Sign ups (200 odd) Vice President This year has been great! Spent the first half as an OCM before stepping up to VP halfway through 1. Went on a lot of fridge runs with Annique, did probably the first several months worth at least - as a result we were able to drop prices on a lot of fridge products like hot food, and get more interesting things (reese's cups, proper ginger beer, big energy drinks etc) 2. Helped run a bunch of events including a few screenings, the Cam Hall Quiz Night, Cameron Hall-Oween, the stargazing Collab with SPACE, and the Shadowrun LARP 3. The biggest job was definitely the Camp, which I stepped into the organisation of with Annique - we had a new location and a fresh committee so it was a big job, but was a huge success! 4. Was also super involved in the room renovations, which came along incredibly well by the end - the clubroom has been officially re opened and as of yesterday we finally put the "new" fridge in, so everything's nice and fresh for the new semester Secretary It?s been an amazing year being your secretary. My main responsibilities have been organising committee meetings, minuting them and then sending them to all of you. That went better then I thought it would. Although there were those issues mid year with the mailing lists, those have been sorted so hopefully that will not be the next secretary?s problem. I had a blast being part of Relay of Life and I can honestly say that this club made me go grey. It was also amazing doing the Halloween party for the first time in a few years and hope to go to another one again. I also continued last committee?s pyjama parties with my own spin on it with a talk by student services and a bob ross screening but the important thing is continuing awful personality quizzes. Also I helped run the star wars marathon and the midnight screening. I?ve been to a lot of screenings and events and I?m psyched to have done a few myself. I also had so much fun organising the food for the camp although I wish that it had been a little more organised but overall an alright year. Treasurer Starting Amount: 12001.69 Current Amount: 8868.38 Fridge Expenses: 4555.37 Fridge gains: 4712.50 Library Expenses: 1294.12 Spent on Events: 3950.13 Gained on Events: 3117.75 Grants and Interests: 3104.91 Besides treasurer jobs, did a lot of screenings, thought Iron Fist was a good idea, just tried to help out when was needed, wish whoever takes over the best of luck. Jack brings up that Unisfa has not applied for semester 1 grants yet for the renovations. Librarian * Ran 2 sponsor crawls, spending about $600 on each * Bought another copy of necronimicon and stopped people from borrowing it so people can stop stealing it - Standardised the book theme so that is would be updated each month and could correspond with the book clubs - Changed overdue policy so that if you have an overdue book, you can no longer borrow new ones - Ran an audit and discovered various horrifying things, including that we have over 80 advanced proofs which are illegal for us to own - Removed 48 books in total, none since last general meeting - Reorganised the library several time, anthologies, fan shrine and conspiracy books in the compacters - Helped with renovations so we now have a nice new clubroom and corners in our ceiling, - Removed the dungeon, technically more space but still could be re-organised - Started a writing competition with CWAP (Creative Writing and poetry Society) which they have said they want to continue into this year, hopefully on a semester basis - Ruined my hair for relay for life by dyeing it platinum blonde with purple ends and eventually having to cut it all off, because apparently bleaching It 3 times in 2 days is a bad idea Fresher Representative ? Ran Fresher Group 2017 ? Planned fresher re-welcome for semester 2, which went really well! ? Engaged with my fellow first year members ? Wrote fresher guides for 2k18 in collaboration with Kurt ? Planned fresher welcome 2018 ? Helped to plan and run O-Day and then meet our new and returning members on the day Highlights of other duties: ? Ruined my hair for Relay for Life ? Charity vigil subcommittee, learned lots, collaborated with other clubs, good ? Went to Guild Ball and helped Annique accept our club?s award for Runner-Up Best Club ? Helped to run camp, was house leader of Wonder Woman ? House WONDER WOMAN WON, shoutout to Cam, Natasha, Theo, and Gal Gadot [pastedGraphic.png] ? Helped with renovations and audit, removed the dungeon! ? Organised UniSFA goes to Panto events ? Hosted screenings; attended many screenings and events ? Gave good opinions, made friends ? Made many different improvements around the club as a committee ? We did a great job [pastedGraphic.png] ? Am excited for a new year of science fiction and fantasy OCM Report - Finley * Shitposts * Christmas in July * Both vigils * Camp Subcommittee * Relay for life * Kept election promise and took Unisfa to the slime factory * done a lot of assisting OCM Report - Kurt Ran Relay for life. Raised over $500. $496.05 taken from the tin. Became a Graphic Design Deity. Notable works include Easter Picnic Poster, Camp Posters, Cover Photos and Unisfa themed Bookmarks. Screamed a lot. Supervised many foods being made. Took part in the LARP subcommittee. Heavily co-ordinated the collaborative Stargazing. Assisted in building the clubroom. RSA'd the Halloween Party OCM Report - Theo As many of you probably remember, I became an OCM at the middle of the year after the then OCM Jack ascended to Vice-Presidency. Over this time I did many of the normal OCM things ie. Helping with organisation/attending for assorted events like Camp, the Fresher Welcome, O-Day, Club Carnival, renovations etc. The more major task I undertook was coordinating the creation of a new logo. This involved getting conceptual ideas from the members, working with committee to pick a shortlist of ideas, getting professional samples done in association with the Guild Graphic Design department, and as I?m sure you know, this will be discussed further during general business at the end of the meeting where we will vote on which of the concepts we want to use going forward. 3. They?re reinstated. 4. General Business ? Logos * Alien in a witches hat * Annique has a problem with the body and using it as an I * Leah has a problem with the lines of it and how complex it is * Taylor says that we could make it just the head * Annique has a direct answer that it could come off as a little immature * Kai says that it doesn?t have to be square and could be a circle like unigames or any other shape * Katherine says that you can see the scales on the unigames dragon even though it is very small * Dragon on the world * Taylor - Unigames has a dragon, probably too similar, many people second this * Liam says that we are sister clubs and there are many other mythical animals that could be chosen * David Thatcher says that the crossover doesn?t matter too much * Nic says that being confused with Unisfa is not the worst thing * Taylor says that we could put any animal on the planet * Kai says that they like the concept but that the design could make it difficult * Annique says that how the dragon is positioned is confusing * Katherine agrees and that it?s an awkward shape for the dragon * Theo says that the design brief was that the dragon would be wrapped around the planet so we could go back to that further and make it more coiled around * Katherine - The planet is not exactly sci fi so it?s not very relevant * Finley - the dragon is really cool and detailed but the planet is too simple so it jars a bit * Annique says that this is not a final thing and a vague draft so we could edit that * Ryan says that the planet works well for the title but it?s not very flexible and wastes a lot of space * Taylor is concerned by the planet * Kurt says that the font should be changed * Annique wants to hear how people like the design of UniSfa with the capitalisation - people generally like it * Unicorn in a Tractor Beam * Taylor says that the grey could make it difficult to see unless filled in black * Annique says that we could change the colour of the tractor beam every year similar to unigames * Could just have two black lines instead of the grey to make it more obvious * Katherine says that it looks fun and approachable while being relevant to the club * Cassie says that it?s smart to have the concept but it could look busy also the music logo is richer with grey so you can have that detail * Annique thinks that it might encounter same issue as alien in witches hat in that it?s not that mature * Edward says that it seems like a quirky spin on tropes * Liam says that maturity is not an issue and it?s just about the genres and pop culture * Jade says that it doesn?t need to be mature and it?s more approachable which is important to new members * Kurt says that the childishness is a plus as it is in keeping with our club?s atmosphere * Taylor says that the way the unicorn is positioned could be similar to panto?s horse * Cassie asks if we could do a different animal - yes * David says that we don?t need to worry about differences from other clubs because most sci fi clubs have similar logos * Cam and Taylor both think that interaction with other Cameron Hall clubs mean that being too similar is a concern * Nic - could be a pegasus or unicorn beaming up a spaceship * Jade says that it isn?t too similar to other logos * Liam - it does look like a good mixture of sci fi and fantasy * Theo - this image done scaled up and refined would look good as a banner * Finley says that it?s good as a t-shirt * Annique says that it could be on a t-shirt and not as a logo * Theo says that it?s a good sign of a logo if it could be on a t-shirt * Katherine says that it seems clear and transparent makes it less vague and corporate like so it?s clear what kind of club we are * Circuit board Pentagram * Liam says the he loves this one but not as thematically for this club and it seems more like computers stuff, would look great on logos but not great for the club * Cam it would be better with a more obvious for the pentagram * Katherine says that we don?t want to deter people from the club and this logo could deter some who don?t get what we?re about * Annique - the design needs to be tweaked but she?s most drawn to it though * Emily - it looks like satan and computers which could be confusing * Jade says that it?s gorgeous but too ambiguous * Ryan - recommend tweaking the design so the star is circuitry as well * Taylor says that we are much higher amount of atheist lefties in Cameron Hall than the rest of the population so we should take into account freshers who are not as comfortable with the satanic imagery * Katherine - circuit boards are not strictly sci fi - could be a computer club * Annique - whilst circuitry is not exclusively sci fi, it is difficult to find stuff for just sci fi and are there any fantasy ideas? * Cam says sword * Katherine says maybe a planet * Theo says maybe summoning circle like 8 point circle * Nic says shield with circuitry * Cassie says that a cauldron could work * Kai says that it could be mistaken for a star of david which would be misleading for people * Jade loves it but it could be differently done * Jo says that it?s also not clear * Motion to change the motion to a vote about which logos to remove from consideration by Simon * Motion passes * Nic wants to add a logo that he made * It is added to the list Motion to vote to remove one of the logo ideas from the list to decide on * The dragon on the world will be removed from the list * Cassie brings up recycling bins and that right now they are not used as they should * We?ll work harder to get people to recycle more Finish: 4:03pm -------------- next part -------------- An HTML attachment was scrubbed...
