Subject: UCC Tenancy Queries
Dear Bob,
I am emailing with regards to your Tenancy queries. I apologise for the delay - I am currently overseas and this has made communication difficult. I have consulted
both past Tenancy Committee Members, as well as the current Guild representatives on this committee and have come to the conclusion that it would be impractical to
hold a Tenancy Meeting during the holidays. The reasons for this are the following:
1. It is the holidays and invitees to this meeting may be away or unavailable.
2. Current and potential clubs who are unable to attend will not get reasonable and fair consideration in Tenancy matters.
I intend to call a Tenancy meeting within the first four weeks of Semester 1, 2013. I will advise all clubs of the date in the new year.
In relation to your request, approval of a relocation to the Loft space is not within my power as Tenancy Chair. The allocation of club rooms and club spaces is
governed by the Club Room Allocation Policy. Under this policy, a committee comprising the SOC President and the Tenancy Chair, amongst others, reviews applications
for club rooms and club spaces and allocates them accordingly. This process occurs when sufficient new club rooms become available. The Tenancy Committee cannot
bypass this allocation policy, neither can Guild Council. Please note also that the Guild Masterplan building will commence in 2013 and this will lead to a greater
number of club spaces, both shared and private. These spaces will be allocated at the discretion of the Club Room Allocation Committee and all clubs will be
notified when this process is to occur so they can submit applications.
The Guild's current intention is to keep the Loft space as a communal space. You are welcome to use it but must share it with other clubs for the time being. A
relocation of the shared space may be considered later, however yours is not a unique problem - many clubs would like more space and we do not want to be unfair or
biased in our allocation. I intend to run a transparent and accountable Tenancy Committee this year, and I know you can appreciate my position on this matter. I
apologise for any inconvenience this may cause.
