I'm surprised by the backflip the new management have had. Would the presence of someone from Facilities Management suffice? Is the Front of House manager just going to stand there and make sure things don't get out of control? (i.e. what does "supervise the venue" even mean???) If so, could we not get a Security Guard or Crowd Controller (no doubt substantially cheaper, if not free if favours are called in). UCC has a clear history of running trouble free events that are well attended and managed correctly with no property damage or risk/harm to participants. Other thing that seems clear to me is that University Theatres are not interested in supporting the wider UWA community and the students that are the core reason the University (and in turn the venues they manage) exist. This is disappointing and perhaps something that should be discussed with Matt McK. Cost: Officially it's $75 per hour, but geraldine in catering said we could negotiate a much lower fixed rate for the event. She suggested $300-$400 for the event, but I think we should get that in writing before we make a decision. Facilities: Power comes in the form of a 3-phase powerpoint on the internal balcony above the ref. Catering has a 3-phase breakout unit with 4x15A powerpoints which we can use for free. The ref has 19 square tables which would seat one person each (very solid and stable), and catering has 15 or so trestle tables we can use. I think we would want another 5-8 tables, but can look at that once we have a better idea of numbers. Bookings: Bookings are available for both July 6 and 13. We can tentatively book both these dates without a deposit, but we will have to confirm if another group wants to book either of those dates.
