Hi John,



I have been over the Event Management Plan with the theatre manager,  
and we still have serious reservations regarding the LAN event taking  
place in the Undercroft.



The main concern centres on supervision of the event and the venue.  
The Undercroft is part of Winthrop Hall, a very prestigious building,  
and is therefore one of the universities prime venues. It is a  
condition of hire that there is a member of our staff to supervise the  
venue at all times during hire. This would be especially essential due  
to your event running over night on the Friday and into the weekend  
when no one from our admin office will be around.



That said we feel that your event would only be able to proceed in the  
Undercroft if we staffed the event from 6pm Friday to midday Saturday  
with a front of house manager. This would result in a large wage cost  
that would be passed on to you as the hirer.



This said it is probably likely that the Undercroft is not going to be  
a viable option for your event.



Are there not guild venues that would be better suited venues for your event?

Sorry about that, it seems that later versions of Adobe are a little

unforgiving of PDFs that break spec, and the reader I used to fill out the

form seems to break the spec slightly.
