We've been there before, but they didn't offer function packages last time. http://www.theroyaleastperth.com/events-l0/royal-events/ Apparently they can cater for 20-100 people. They also don't have a cancellation fee until 2 weeks before the event. It's also a lot cheaper. I like this because it could just turn into a regular dinner, but if we organise it early (as opposed to two weeks before) there is potential to expand. They list the food as "finger food", I don't know how substantial that would be for dinner. If we decide not to book the Hilton, I will contact them for more information. I also recommend other people get some more information about their alternatives. Rather than just say "Find somewhere better!" That way we can choose between several things. It's not really fair to expect one person to research *every* alternative, which is what we have been expecting of [SAS] so far. More if the event is closer. They also require us to spend a minimum of $11300 + $700 for Security. That means we are looking at $12000 or roughly $120 per person assuming we can get 100 people to attend. Listening to people in #ucc, it seems that a more reasonable number of attendees is 40, though if we advertise early and push for people to attend, we could possibly double this number. If we only get 50 people to attend when we book the Hilton, UCC stands to pay the other $6000 out of it's pocket. While I am aware that we want to make this a good event, and are willing to lose money on it, I think $6000 is too much. I would be happier of it was $1000 to $2000 tops. [DAA] has mentioned in #ucc that the 0x20 dinner (32 anniversary dinner) had around 40 people attending it and it cost around $40 per person. They also received grants from the guild to help pay for the event. We need to start looking at what the guild would be willing to put forward to help us run this event to see what we can afford. I also looked into the South of Perth Yacht Club. It looks like they would be willing to run an event in the Ward room (one that has a nice view of the river) without needing to fill the venue to capacity. They also have a cancellations policy that allows us to cancel any time up until 3 months before the event (Early July) and receive all of the money minus the initial deposit back. Here we are looking at $700 for venue hire and anywhere between $60 and $110 per person for food. Something no one has bought up previously is that if we want to use the parking at SoPYC, we are required to pay $90 to have someone man the gated parking areas. SoPYC comes the option of either a drinks package or a bar TAB, with the bar TAB being the better looking option. Assuming a bar TAB of $1500, the cost per person (for 40 people) of the SoPYC is between $120 and $170, depending on the set menu selected. [SZM] bought up The Royal in East Perth. They will run events in a sectioned of area of their premises. I have been unable to find much info out about this, but they require that you but a finger food set per person. Meals there cost between $25 and $50 each. Assuming the $1500 bar TAB and that there is no booking fee, we are looking at between $80 to $124 per person for 40 people. [GOZ] has also suggested a pizza night (informal event). I'm not sure how serious he is about this, but for $600 (iirc) we can get the acorn cafe. Then for $20 we could order some nice pizzas and cool drink. Meaning around $35 per person. This means that more active members will be able to afford it. If we did an informal event we could also get packs of LED throwies, go down the the statue in the river and cover it in them. Which is a really neat idea that [GOZ] had. In summary:The Hilton: http://www.youtube.com/watch?v=a55hIGmMzuE (Skip to 1:08 for the important bit) Most of what I have gathered is herehttps://github.com/mpomery/UCC40thDinner/blob/master/Comparison.pdf (click view raw) Thanks, Mitch [BG3] TL;DR; The Hilton isn't worth it. The core concern is that people are doubtful we will be able to get the numbers and expect we will therefore make a very large loss (several thousand dollars). The South Perth Yacht Club does not (as far as we know) allow payments to be made in installments, but the Hilton does. However the Hilton seems to have harsher conditions if we are unable to get 80+ people to attend. The third option is a pizza run in the Acorn Cafe. Because we need to agree to the Hilton's contract by the 4th of February, there will be more discussion on this list, possibly involving graphs, and then a vote of committee via this mailing list on Sunday. If anyone doesn't vote it will count as an abstain (ie: "No we don't want the Hilton"). [SAS] may send more information later. I encourage everyone to read the previous emails to this list which give some information on the options (to which no one responded). For those who wish to know, of contactable members it was 4 for Hilton, 1 for SOPYC and 1 abstain. Of course there will be a proper vote on this at the Friday meeting at 4:30 to avoid a clash with the Uncharity Vigil. The initial deposit required is less than expected at $3,000. With other instalments listed in the contract. The only discrepancy with the estimate I gave is that me may need an extra security person. However I will confirm this. Please contact me with questions, I will be sending another email to committee@ later in the day. Many others have given this rant and given up in disgust. Now it seems as soon to be Ex-Vice President it is my turn. So here goes: The natural state of a bin is empty. Bins want to not have stuff in them. This may be hard to believe as the Cameron Hall bins are so rarely seen in this state, but I assure you it is true. The bins cry themselves to sleep every night. They are in a state of living hell. Or they would be if they weren't inanimate objects. So spare a thought for the poor bins. Should you see a bin approaching a full state, the correct procedure is to empty the bin into a larger bin. This larger bin will in turn be emptied (by someone else) into a larger bin and so on and so forth until the contents end up in the pacific ocean or a national park. The point is, we want the rubbish to leave the clubroom, not accumulate in it. Should the bin be full, the following locations are *not* suitable alternatives: 1. On the floor 2. Behind computers 3. On the coffee table 4. Under the couches 5. The floor of the loft 6. On chairs A particular emphasis should be placed on food stuff. Particularly carrot. Particularly pieces of gravy saturated carrot in a lidless container. Particularly those pieces of carrot placed on chairs. Particularly the pieces that I sat on earlier today. The "larger bin" for UCC is downstairs. It is the giant bin in the carpark. A crucial component to the bin system is a "bin bag". This prevents the contents of the bin from attaching to the sides and gaining sentience. Bin bags can be found in the cleaning box behind the door. Should the supply of bin bags be depleted, bin bags should be purchased as soon as possible from Nedlands Hardware Store at Broadway shopping centre. This is an ideal location as it is the same place that many of you will go on a daily basis in order to purchase consumables for dropping in the bin. The optimum size is 90L bags. The price is around $8 for 20 bags and you will be reimbursed and applauded for your initiative. Remember to place the receipt in the safe. If you are a coke member, no one will care if you reimburse yourself. Once you have purchased bin bags, be sure to place packaging in the bin, inside one of the bin bags. Finally, although recycling is a commendable initiative, it seems that a reminder is in order: Recycling is not a spontaneous process. For recycling to work, someone has to put the recyclables in a recycling bin. For reference, I provide a photo illustrating an example of a bin in the full state: http://matches.ucc.asn.au/sadbin.jpg Kind Regards and Best of Luck in your Bin Maintainence Careers, Sam Moore [SZM] UCC Vice President 2013 * I get it, emptying the bin is a pain. It gets more painful the fuller it is. My name is Alex Bennet and I am the chair of the Tenancy Committee for 2014. I would like to take this opportunity to introduce myself and welcome each of you, whether you are new or returning, to this committee. This committee is now comprised of all clubs holding a Guild managed tenancy and/or club storage space. Tenancies are so important to the life of many clubs on campus and one of my major goals for this year will be to provide transparency with the implementation of the Guild Master Plan so as to ensure that this process does not disadvantage any of you. Further discussion of both my goals and the direction being taken by the Guild as a whole can wait until our first meeting which will occur sometime towards the end of March. If your club has its elections and handover after March, please let me know and I will try to accommodate for that. Please note that tenants who only hold a storage space are not required to attend tenancy committee meetings, however they may do so if they wish. All other tenants are required to attend tenancy meetings. If you have any questions or tenancy/maintenance issues between now and the first meeting, please do not hesitate to contact me at tenancy-chair at guild.uwa.edu.au, or through the address that this email is coming from. BUSY BEE 1: For those of you who don't know what a Busy Bee is, it's essentially a day where all tenancy clubs come into uni and clean up their clubrooms and any common spaces. All clubs are required to attend Busy Bees and get your names ticked off. The first busy bee will be held next Sunday, the 23rd of Feb. This is to ensure that all areas and club spaces are clean ad ready to go for the semester! As storage spaces have only been allocated recently, clubs who only hold a storage space will not be required to attend the first busy bee. All club room tenants must attend. Lastly, if this email is being sent to you and should be sent to another committee member or your successor, please forward it to them and let me know of their email address. Subject: Tenancy Introduction and Busy Bee Hi there! I think that's all for now! Hi all, Tenancy has decided to have a Cameron Hall clean up this Sundary, 23rd of February. The whole clubroom will be cleaned, but it hopefully shouldn't be too messy, unless people are super boisterous on ODay. As door members, you're expected to come unless you send an apology via email. Sorry for the late-ish notice, but we just received it from Tenancy. Thanks Erin UCC Secretary 2013 -------------- next part -------------- An HTML attachment was scrubbed... For reference (because I wouldn't have known this myself until recently), the easiest way to make the list is accessing the postgres database directly*. COPY (SELECT student_no FROM memberdb_member WHERE guild_member = true) TO '/tmp/guild2014' WITH CSV; Grep for obvious errors and fix them and then repeat. If you are using linux you can xclip to copy/paste the whole file. The count is 147 student numbers. We have 96 first time members. Last year 119 student numbers were submitted and 118 were confirmed as guild members. So, Good job everyone who helped out on O'Day! Sorry, [SZM] -------------- Hello Committee! My name is Keir or vanish, I was the Fresher Rep for 2013, and some of 2014. This is just a friendly reminder to come over to the club if you haven't set up your account with us, otherwise you won't be able to use our services! If you have already made your account, come back anyway! Don't forget, you still have a free $5 worth of coke to drink from our networked coke machine :) If you can't come in before, definitely make sure you attend the Fresher Welcome on 28/02 @ 5pm, there will be free pizza for you, as well as an inevitably fascinating talk on beginning an adventure in the world of Linux. We will also have over 9000 events during the semester, mostly LANs. But most importantly, if you want to have a say in next years committee, or be in the running for Fresher Rep next year, attend the Annual General Meeting on 11/03 @ 1pm in the Guild Council Meeting Room, if you don't know where that is, come over to UCC just before and there will be a group heading over together! Hope you've had a great start to the year, you made a great choice signing up to UCC!
