Oday and email catchups for new execs
If you are an old executive; please forward this to the new executive or
email at soc-president to let me know what's going on with your club's
activity status -active with no new 2019 execs, lapsed, or disaffiliated.
If you're a new exec, pleaes hand in your ERF or let me know if you
haven't been recieving emails even though you've submitted the ERF.
Hey there Felix,
Hope your holidays are going well and University Computer Club, The
(UCC) is gearing up for O-Day! Here's a few updates before our meeting
next Wednesday :)
O-Day!
Hello! Big Reminder that O-Day is on the 22nd and the deadline for
signing up your club to be there is
*THIS FRIDAY - 30th Jan
11.59PM!! *
Some Questions:
*what's my P-Order?* - if you're a UWA Club, don't worry about filling
it out, or the address box. You can just put your UWA Guild Account
number in the boxes below that question.
*How do I pay?* The Guild will invoice your club after the event.
*Where is my stall? *Once all the clubs are locked in, then we'll be
organising the stall locations.
*Who do I contact if I have a problem with my application?* Leigh at
events at guild.uwa.edu.au
IF YOU DON'T SIGN UP BY THIS FRIDAY - YOU WILL NOT BE ABLE TO HAVE A
STALL! Get on it :)
LIBCAL is the NEW IMPROVED ROOM BOOKING SYSTEM
The old system had you physically going into the Guild Student Centre
(GSC) to book a room or emailing hello at guild to ask if the room is free.
NOW you can do it all online (like the library booth booking systems)
https://uwaguild.libcal.com/
The new link to booking CCZ meeting rooms and the Guild Council Room :)
Save it in your favourites tabs for quick access for organising this
year's meetings!
Check out the LibCal booking system here!

First SOC Meeting of 2019
Next Wednesday the 6th February.
5.30pm-7.30pm
This is where the meeting will be :)
Once you arrive, please find someone from SOC with a lanyard and they'll
direct you to the sign in desk.
I'm going to try to start the meeting at 5.45pm so please try to arrive
by 5.30pm so we can get started straight away!
WOW! LIFE IS EVEN BETTER NOW WITH GUILD EFTPOS MACHINES!
EFTPOS machines are coming to the Guild! We'll have 5 machines ready for
your club to hire for ticket sales, Oak Lawn stalls. No more will
'sorry, I don't have cash on me' be a problem for selling tickets to
your events!! Stay tuned for more info on where to borrow them from and
Ts & Cs.
FUN FACTS WITH TACO
We've been getting a few emails regarding emails (lmao). So just to
clear things up for new execs, the guild emails that clubs are given eg:
italianclub at guild.uwa.edu.au are just aliases and not actual mailbox
email addys. So anything send to a club at guild.uwa.edu.au goes to all the
student email addys of the club executives on the ERF :) Hope that
clears things up for y'all
*Aaaaaand that's the end of the updates. *
I'll have many many more during the SOC meeting! See you all then.
Remember to bring your STUDENT CARD for faster sign ins!
The below info is all the last few emails I've sent out. If you're
an old exec, please share this email with your new exec so they
are up to date as it has everything they have missed! Thanks!
* Also remind them to hand in their ERF asap otherwise they have no
access to anything
Who's ready to be a leader? :D The Guild Events team has
organised Student Leadership for all clubs reps. It's very important
that you have this knowledge. If you've been to SLT last year, you do
not need to go again this year; give your place to the newbie 😉
At least one executive committee member from each club is required to
complete the Guild’s free Student Leadership Training, non-execs are
also free to come. Pls note: SLT will take up most of the day.
Register for 2019 sessions here

Sessions are:
Tuesday 29 & Wednesday 30 January*
Tuesday 12 & Wednesday 13 February
Tuesday 23 & Wednesday 24 April
Tuesday 16 & Wednesday 17 July
* Reducing the Risk of Sexual Assault module is not available during the
January session, please sign up for that module in either February,
April or July.
If you’re running a camp, you must you complete the camp module (Two
Camp directors must have completed all of the training prior to your
camp approval meeting).
Places are limited, so apply now :)
ALSO: remember that ERFs are due no more than ONE MONTH after an AGM. So
if you've still got your ERF, hand it in quick!
I've had some emails from new club execs who have been worried about how
to tackle this year. From my experience as a President, VP and
Secretary, these are some things to really start to get a head start on:
* O-Day preparation!
* Club Carnival Prep
* Team Bonding
* Thinking about PROSH (eg ordering costumes from Ebay could take up
to a month - get on it!)
* Back to Semester/Fresher Sundowner Preparations
* Writing all dates down in planners for SOC meetings
* Getting excited about SOC Meeting Numero Uno and the Networking
Night on the 6th Feb!
ODAY PVC Banners
ODAY PVC Banners are available for $120 (ex GST).
The size will be
*2500mm x 800mm, with welded steel eyelets every 1m and supplied rope.*
I’ll be placing a bulk order on Feb 8^th for ODAY, so please have the
*form filled in by Jan 28^th .*
If you would like to place an order for one, please fill in the job
request and provide a pink slip to the Guild's Creative Department (This
will finalise your order).
Job requests can be placed here

Club T-Shirts
Elise is going to be *placing the order for T-Shirts on Tuesday January
22^nd. *
The cut off will be the Tuesday and we will require a pink slip (from
clubs) by the Tuesday, in order to guarantee the arrival for ODAY!

more information!
ODAY Stalls
These are the clubs who have signed up for O-Day so far. If your Club is
not on the list, then you have not signed up for it yet.
*Some common questions I've been getting:*
/What address do we put in?/
_Answer_: your mailbox address OR the Soc Pigeonhole - Bob Nicholson
room -35 Stirling Hwy, Crawley WA 6009
/If we can't pay for our stall what can we do? /
_Answer_: hold out til Club Carnival - it's free and on the 5th March
(week 2 of semester and free to have a stall there) It's like a mini
o-day. However, it's very beneficial to be at O-Day, as most of your
sign ups will come from there!
Here are the dates for all the SOC-related events coming up this year!
Make sure you put them in your phone/planner and remember that if you
can't make it to a meeting, don't risk losing grant $$, just send
apologies to Shannon or a proxy instead!
As for all the due dates for grants etc, we've extended the deadline to
11.59pm which means you have an extra 7 hours to get those applications
in so no late applications will be accepted this year!
