Please find below an email from Kelvin about your current server room. I understand this might be a little confusing!

I think the next steps would be to arrange another meeting with both Kelvin and Jack, the latter who proposed both a relocation and a server storage build (with funding) for UCC earlier in the year, to see what we can do in this current situation.

Hi Chloe,

Thank you for bringing this item to our attention.

As we discussed, Lauren and I went up to have a look at and a quick chat with the member of the club yesterday. Jack is also fairly aware of the situation, having looked into this before. From there, we brought this up as an item at the Workplace Health & Safety Meeting this morning.

After discussing the history and examining photos that we took while onsite yesterday, the Workplace Health & Safety Committee concluded that in its current state, the committee does not deem the structure to be compliant. In addition to this, it was brought up during the meeting that this is not the first time this has been examined. There have been previous concerns, and as a result of that, the Guild had previously offered a new tenancy space to the University Computer Club. The offer also included some additional funding that would have gone towards the cost for relocating and rebuilding a new server space in the new tenancy. Unfortunately however, the offer was rejected by the club, who wanted to remain in their current space.

The structure was obviously built during a period where concerns for safety were much more relaxed. However, current rules and expectations do need to be applied to current situations. As such, we would like to request that the University Computer Club prepare for us an outline of how they plan to rectify the space to become compliant.

It is worth noting that this has now been identified as a non-compliant alteration to their club room. As such, should there be any incident in the space, they would be ineligible to make any insurance claim, and could be liable for fines. They will also be required to rectify the situation as soon as possible. If this is not done, the next steps could be to require them to remove the structure entirely.

Some key areas that need to be addressed are:

  *   Purpose – The room’s purpose is to house server infrastructure. The space should not be used as storage for other items.
  *   Ceiling – The ceiling should be of a more solid material, and should not have items stored on top of it.
  *   Power and Cable Management – Power sockets should be installed on the rack, and cables need to be bundled and tidied up.
  *   Cooling – The existing cooling unit in the room appears to be very old, and may not be a sufficient source of temperature control.

Please note that any alterations need to be completed by a fully compliant and UWA-inducted contractor. We can assist in lining up possible contractors if they do not have any.

Could you please pass these messages on to the University Computer Club? Alternatively if you do not feel comfortable doing so, we would recommend speaking with Jameson to see if he would like to send it out on behalf of Guild Executive. Jameson is also on the WHS Committee and was present during today’s meeting.
