Hi Kelvin,

Apologies for the delay in approaching you for this, it's been very 
hectic the past two months.


Our plan for implementation is below:

So the new Surveillance Policy enacted by Guild will be affecting us, 
alongside our hosting for Unigames' and UniSFA's webcams. The new 
requirements mean that webcam/security cam archives must be private, 
that they must be kept for a minimum of 30 days and maximum of 90 days, 
and that access to the archives must be logged and go through Guild 
before access is permitted. Please clarify if I am missing something here.

The website for the live feed and archives can easily be disabled, 
that's not a problem.

The current way our cams are stored is that every 6 seconds, we pull the 
current image from the webcams, and store this on our servers. These 
webcams are only accessible inside the UCC network, so if they were to 
stay then the storage would likely have to stay inside UCC.

Currently this is stored on our file server, which can be accessed by 
our main user server (which performs the image retrieval processes) and 
our webserver.

To lock down access, I suggest that we instead move this process and 
storage to a new VM (hosted inside UCC), where any access can be logged 
stringently, and which we can make accessible to Guild IT.

Realistically, our sysadmin team will have to have access to the VM for 
security purposes, and to make sure it remains working, but this access 
policy can extend to them and we can log what files they access to 
monitor this. We also have our strict ethical guidelines for our 
sysadmins, which violation of can result in swift removal of access and 
priviliges.

 From there we can also automate clearing of the archives, to maintain 
compliance with the new policy.

IMPLEMENTATION PLAN END


Our two primary questions are:

- Are we permitted to continue our hosting agreement for UniSFA's and 
Unigames' cameras? They also have a security purpose there and they have 
shown verbal interest in continuing to have them, even if the public 
feed goes down.

- Would we be able to retain some of our old archives for historical 
purposes? They are a good record of our time in Cameron Hall, especially 
as we celebrate our 50th anniversary next week, and 30 years in Cameron 
Hall.
