Committee Meeting - 4 Day Warning

A committee meeting will be held on Friday, 05 April 2019 at 15:00 unless otherwise stated.

The meeting will be held in the UCC Clubroom.

Agenda for the upcoming meeting

--------------------------------------------------------------------------------
## Motions passed by circular
- Nick reimbursement
## Confirmation of minutes from 2019-03-15
Committee Reports
=================
- [FVP] Motion to skip straight ahead to general business
- Reports and information can be added to the agenda by committee beforehand
## President's Report
- Should probably stop starting flamewars.
- First technical glitch while taking minutes in over 12 months!
- aka. minutes from latter part of last meeting got deleted
- Found inspiration from the 2015 AGM, of all places, and would like to share with committee;
(thanks to [BG3])
```
- My words of advice for #nextmittee
- 0. We all make mistakes
- 1. Book a holiday, take a break
- 2. Do things because they make sense, not because tradition
- 3. Be professional, people look at UCC
- 4. Talk to people, find a mentor, ask questions
- 5. Be prepared to challenge peers
- 6. Take a step back, don't lose your vision
- 7. Acknowledge your peers
- 8. Don't assume it makes an ass out of u and me
- 9. Listen to advice, don't take it
```
## Vice President's Report
- Have been less available for UCC business this week than hoped due to Uni work
- As such have been less in-touch with the goings on this week, but eager to see things resolved fairly
- Attended a meeting with Westpac to be added as an approver for the account
- Considering running a(n intro) hardware-focused tech talk in a free slot later in the semester
- Need to organize material and probably actual hardware to give to people to play with...
## Secretary's Report
## Treasurer's Report
- We still have money
- I'm getting thoroughly confused about where some of the money goes or appears from
- We randomly got about $8 in bags that are not mentioned anywhere that I can find
- If people want to donate, please put it on their account and then use `dispense donate`, it makes my life easier
- Weekly reminder to Felix that I'm the treasurer now, not the VP
- Update: I have now figured out where the money went!! Books are up to date.
## Fresher Rep's Report
## OCM Reports
- David Adams
- Put events up some time in the past
- Have been communicating with Makers about colaboration for project night
- actively considering resigning
--------------------------------------------------------------------------------

--------------------------------------------------------------------------------
General Business
================
- Wheel applications
- [DAS] Donald Sutherland
- [MLG]: Motion for this meeting to deal with any complaints brought up prior to today or to elevate it to the relevant body.
- Issues have been reported with [BOB]'s behaviour
- [JGM]: Getting Meeting Minutes out for recent meetings
- Organise an Ordinary General Meeting
- Need to elect a new Secretary
- May as well use the same meeting to propose constitutional changes
- [MPT] Am yet to send updated proposal, will do so with plenty of time for more feedback
- Proposed date Tuesday 23rd April, 13:00
- TODO: someone submit an EMP, book the GCMR
- [FVP] Let's figure out what we want to do with the club
- There are a number of issues I see with how the club currently operates, and its culture:
- Many people on the edges and outside of the club see it as unwelcoming
- Many members do not feel comfortable in UCC who do not have a problem in any other Cameron Hall clubs
- Commit to proactively working to improve the inclusivity of the club environment
- Commit to seeking advice from members, other clubs and the Guild to learn how we can better support women, LGBTQI+ people and minority groups in club spaces
- Commit to developing and actioning a plan to address these issues
- [FVP] Mailing list & Discord/IRC moderation
- List admin passwords were changed and emergency moderation enabled
- Intended to stop people posting things which were inappropriate
- There should be a proper code of conduct for online messaging
- Intermediary suggestion: committee reserves the right to kick/ban people (temporarily) on reasonable grounds for posting inappropriate content
- [NTU] List moderators require independence from pressure by the committee of the day
- Any bans for online platforms should be reviewed at the next committee meeting, similar to doorings
- Impartially moderated meeting to discuss issues
- [FVP] proposed it by email to stop a flamewar
- Maybe this doesn't need to be separate, we have a general meeting coming up soonish (see above)
- We also have regular committee meetings where people can provide input
- It was proposed primarily to address concerns that people's input wasn't being heard, or was being censored
- See items about moderation rules below
- [FVP] Complaint resolution regulations
- Currently, we do not have a specific process for reporting or resolving complaints
- Much of that comes down to door members
- We should formalise the process so that members can report complaints to committee in a confidential fashion
- Suggestion: make a google form such that committee are informed when things are submitted
- Regulation proposal:
```
- The Committee shall provide an accessible and confidential means for members to report inappropriate behaviour
- In response to a complaint, any committee member may request immediate disciplinary action be taken by a member of Door or Wheel, including;
- Dooring
- Account locking
- A formal notice shall be issued, in confidence, to all parties to the complaint within 7 days of the lodgement of the complaint
- Complaints are to be discussed at the next committee meeting
```
- [TEC] Statement from the committee on our current position and procces re: club culture
- Could help clarify what's going on in committee to the club as a whole.
- It would be nice if this could also help with the speculation / flamewars to some extent
- [FVP] Call for reapplications & door purge
- Set a date as the reapplication deadline
- Before we do this we should revise our door group regulations
- [FVP] Pots for the plants
- currently it's hard to water them for fear of them leaking water everywhere
- Get some small pots / trays to put underneath
- [MPT] Make sure failed circular reimbursements from previous weeks are considered
