## Confirmation of minutes from 2019-03-22

## President's Report
- Apologies to everyone for delays in getting minutes published.
- Rough start to committee, that's for sure.
- Meetings have been about 3 hours long, on average. Let's make that more like 90 minutes max.
- Hopefully things have calmed down enough that we can actually start doing something useful.

## Treasurer's Report
- I'm not present because I have a tonne of assignment that need doing. My apologies to all, I wish I could be there especially for the important discussions that are going to be had today.
- When putting in my report, I auto started typing in the VP report
- Weekly reminder to Felix (and myself) that I'm now the Treasurer
- It is my hope that things have somewhat calmed down
- With regards to actual money, we got $94 for our ODay Grant
- This is about 3.5x less than last year and 3x smaller than the historical average
- According to other Cameron Hall treasurers, there's some dodgy shit going on
- Apparently SOC has allocated less money to ODay grants and more to semester grants
- We also still have money.
- I've written a few scripts for parsing dispense logs to pull useful information:

- UniSFA has asked all other clubs whether they'd be happy with some amendments to the subcommittee regulations

**Backlog from last week's meeting:**

- Need to elect a new Secretary
- May as well use the same meeting to propose constitutional changes
- [MPT] Am yet to send updated proposal, will do so with plenty of time for more feedback
- [FVP] has booked the GCMR 13:00-15:30

- [FVP] Let's figure out what we want to do with the club
- There are a number of issues I see with how the club currently operates, and its culture:
- Many people on the edges and outside of the club see it as unwelcoming
- Many members do not feel comfortable in UCC who do not have a problem in any other Cameron Hall clubs
- Commit to proactively working to improve the inclusivity of the club environment
- Commit to seeking advice from members, other clubs and the Guild to learn how we can better support women, LGBTQI+ people and minority groups in club spaces
- Commit to developing and actioning a plan to address these issues
- [FVP] Mailing list & Discord/IRC moderation
- List admin passwords were changed and emergency moderation enabled
- Intended to stop people posting things which were inappropriate
- There should be a proper code of conduct for online messaging
- Intermediary suggestion: committee reserves the right to kick/ban people (temporarily) on reasonable grounds for posting inappropriate content
- [NTU] List moderators require independence from pressure by the committee of the day
- Any bans for online platforms should be reviewed at the next committee meeting, similar to doorings
- Impartially moderated meeting to discuss issues
- [FVP] proposed it by email to stop a flamewar
- Maybe this doesn't need to be separate, we have a general meeting coming up soonish (see above)
- We also have regular committee meetings where people can provide input
- It was proposed primarily to address concerns that people's input wasn't being heard, or was being censored

- Currently, we do not have a specific process for reporting or resolving complaints
- Much of that comes down to door members
- We should formalise the process so that members can report complaints to committee in a confidential fashion
- Suggestion: make a google form such that committee are informed when things are submitted
