Apologies for the delay in approaching you for this, it's been very <br>
hectic the past two months.<br>
<br>

Our plan for implementation is below:<br>
<br>
So the new Surveillance Policy enacted by Guild will be affecting us, <br>
alongside our hosting for Unigames' and UniSFA's webcams. The new <br>
requirements mean that webcam/security cam archives must be private, <br>
that they must be kept for a minimum of 30 days and maximum of 90 days, <br>
and that access to the archives must be logged and go through Guild <br>
before access is permitted. Please clarify if I am missing something here.<br>
<br>
The website for the live feed and archives can easily be disabled, <br>
that's not a problem.<br>
<br>
The current way our cams are stored is that every 6 seconds, we pull the <br>
current image from the webcams, and store this on our servers. These <br>
webcams are only accessible inside the UCC network, so if they were to <br>
stay then the storage would likely have to stay inside UCC.<br>
<br>
Currently this is stored on our file server, which can be accessed by <br>
our main user server (which performs the image retrieval processes) and <br>
our webserver.<br>
<br>
To lock down access, I suggest that we instead move this process and <br>
storage to a new VM (hosted inside UCC), where any access can be logged <br>
stringently, and which we can make accessible to Guild IT.<br>
<br>
Realistically, our sysadmin team will have to have access to the VM for <br>
security purposes, and to make sure it remains working, but this access <br>
policy can extend to them and we can log what files they access to <br>
monitor this. We also have our strict ethical guidelines for our <br>
sysadmins, which violation of can result in swift removal of access and <br>
priviliges.<br>
<br>
From there we can also automate clearing of the archives, to maintain <br>
compliance with the new policy.<br>
<br>
IMPLEMENTATION PLAN END<br>
<br>
<br>
Our two primary questions are:<br>
<br>
- Are we permitted to continue our hosting agreement for UniSFA's and <br>
Unigames' cameras? They also have a security purpose there and they have <br>
shown verbal interest in continuing to have them, even if the public <br>
feed goes down.<br>
<br>
- Would we be able to retain some of our old archives for historical <br>
purposes? They are a good record of our time in Cameron Hall, especially <br>
as we celebrate our 50th anniversary next week, and 30 years in Cameron <br>
Hall.<br>
