There was a Committee meeting this Friday, here are the minutes along with a few notices!

Things For Your Eyes

- Congratulations to our new CCC: Tim, Leah, Nic, Ryan, Nat, Annique, Jack, and Adam!

- If you haven’t heard, the time where you can sign up to Relay for Life for the discounted price of $20 (down from $60) has been extended until Monday! This is a really fun event to hang out with friends, walk to hatch your Pokémon eggs, and raise some money for a really good cause. - UniSFA: Pokémon GO!es is happening on Saturday the 3rd of September! It will be on from 11am to 2pm and honestly I don’t play Pokémon Go so I’ve no idea what you’ll be doing but I know it’ll be a good time, hanging out with nerds and relaxing outside! 1.	Committee Reports

President

Toby had some chaos but is alive. She did the new waifu poll. Also went to check out the Burnleigh for the tav party, it looks good and she's excited about the event. Was trying to get involved with pride week this week which went eh.

I didn’t do anything and I’m sorry, life kinda got in the way. I’ll do better this week!

Treasurer

Went on a food run with Patrick, thanks Pat for helping and thanks Theo for helping pack the fridge. Did money stuff. Went to the Burnleigh with Toby and Brooke, he is also hype about party. He forgot to get a clock.

Librarian

Brooke is in a lab, she will turn up later.

Fresher Rep

Marlea had a camp meeting and it went well. She’s halfway done with the menu, it should be finished Monday.

OCM Report - Jake

Jake has done the forms for CCC, he wants us to check over it. Also people sent in applications for CCC. That's it.

OCM Report - Jono

Jono was on Rottnest. Before that was sick. But has been delegated stuff from the camp meeting and will get things done by Friday.

OCM Report - Patrick

Hello. Buckle down kids, Patrick did a lot this week. There was a Charity Vigil meeting, they’ve decided to give to Black Dog charity this year. The EMP is in. He talked to Kasey about camp stuff, will bring that up later. Updated some of the stuff for the screenings group. Made some Facebook events. Yes.



2.	Last Week's Action Items

Pat needs to talk to Marlea about FRep stuff.
Everything else is basically done.


3.	Events

Pokemon Goes? This is a thing that will happen. We can screen some Pokémon movies before going outside maybe?
Hobbits Picnic. Toby wants to blast LOTR/Hobbit music loudly to embarrass everyone.
Charity Vigil sounds like it’s going fine. Kasey is wonderful, says Pat. In contact with Black Dog to find out what they’d like us to do to donate money because some charities want people to do or not do certain things. Toby is reminded of something: when she did mental health training they had signs up about depression and she would like one. And maybe we can get some pamphlets on depression to have at the actual event since Black Dog is a charity dealing with mental health. The EMP is going through. Dates are 25th, but apparently Kasey was surprised. But it’s probably someone else who approved the EMP?
Sponsor Crawl is happening so we need a book buy. Brooke needs to make a post either on the Sponsor Crawl event page or on the FB page about that. We think books is a good thing to spend money on. And maybe we’ll be able to move some books soon as well. What was the budget last time? $600. $500 this time? But maybe we wanna buy more books than last time. Set the budget to $600, because we are spending a lot on events this semester but we want books. There are classics we don’t have, like Frankenstein (I now whine about Frankenstein).
Tav party! The Burnleigh looks great, we’re excited to have an event there. There’s no set cost to rent it, we just gotta buy a certain amount of food. But we could also set a decent budget for decorations. What about having a crafternoon to make spooky decorations? We could even charge gold coin for entry with proceeds going to Relay for Life. Yeah cool. We need a date for the tav party. Hhalloween is on a Monday, the weekend before that is when panto is so maybe that’s not a great time. One of the days afterwards, then. It’s also end of semester. We can call it “Halloween’s Ghost” which is extra spooky. We can check if any other clubs have events too to avoid clashes. Maybe also on the 22/23 November. Brooke, in the middle of the meeting, is conversing with people. Tim can look into ticket prices and a budget for food and things. It is eventually decided on the 4th of November.


4.	UniSFAst

We have a pretty good size team, we think 9 people. 9 sure is a number. We can still try and push for more sign ups. The cheap sign up is extended until Monday so we post about that on Facebook a lot. Spam spam!
Fundraising? Jono was thinking of contacting some local cinemas to do some actual proper screening with tickets. Cinemas sometimes do those as charity events. Toby asks if we can possibly do that with something still in cinemas? That might be cool. But theoretically not because they may not want a charity screening of a movie that is currently making them money. We can potentially ask Summerville.  Last semester, Kasey was pushing for people to use that area outside the Ref for things. This would be a cool idea.
Any cool in-house ideas? Like UniGames has Roleplay for Life. Toby was thinking about an extra bit on ticket price for the Tav Party to go to Relay for Life. James suggests putting ticket price close to a 5/10 dollar mark and going “wanna donate the extra dollar to Relay for Life?” These are all good ideas


5.	Camp

Pat had a camp meeting on Wednesday with Cat and Marlea. They’ve worked out who’s working on what things to get done by Friday to get the EMP done. He’s talked to Kasey and stuff. There’ll be another meeting early next week. We need: Events Organisers (2) and Approved Manager (1) for the event. Approved Manager basically organises the event, Event Organisers basically run the event. They have a lot of responsibility and are answerable to Guild. Need some people from Committee to be doing this and to have responsibilities. This needs to be decided amongst ourselves. Toby may be Approved Manager, it’d make sense if she was.
Toby can’t give herself too many action items, she has so many assessments this week.
Pat is in the process of making an itinerary and needs to know who’s coming to camp. Corin is not. Is everyone else coming? Yes probably. Okay cool.
We can get super cheap first aid through Guild as long as 8 people do it, it’s $80 per person as opposed to $160. It can be held at a time that suits us in the Sue Boyd room above the Ref. For the event, we need 4 people with First Aid. We already have 4, we’ve met the baseline. 2 need to be rostered on on a day, so more is better. Who needs to get it? Tim, and Pat, maybe Jake. We can also find out if anyone on CCC is going to camp and wants to be trained. We can possibly combine with UniGames to see if we can fill numbers for training.
Did Pat ask Kasey about swimming at camp? He talked briefly but basically we’d need to have a set time frame for swimming that doesn’t overlap with when alcohol is served. And we’d need an allocated person with a bronze medallion for that. We can probably say, “here are some early afternoons where we’re swimming!” Jake and Jono need to check if their bronze medallions are still good. They checked, they need to be prequalified. Someone on CCC may also have it. But we need them.
Need to get some more RSAs maybe. Pat’s set out a roster of who will be on alcohol duty and food duty etc. And also probably two people may be fine with food certificates.
Brooke and Toby did mental health training and it was good and free. It’s not necessary but other people may be good to get that training too.
Pat will make a post about this because he needs things like student numbers and addresses of Committee members.
Pat has a lot of blank times in the itinerary. He’s copied times from UniGames, they can be changed around if need be. This can be discussed at the Camp meeting, though.


6.	Muns (Money)

Tim wants to introduce new money system on Monday. We all hand over our money bags to Tim.
Nice.


7.	Book Theme

It’s been a month! What ideas do we have for a new theme? A running theme, for Relay for Life! Hmmm. Maybe Australian? Everything will be Deltora Quest. But it’d be a good opportunity to find local things for that theme, and to ask our sponsors what they recommend. Runaways? This is a big part of lots of youth fiction. Group of kids on a journey or something. Books with a red cover? Oh boy, variety! Guess the theme? We know the theme, we put up the books, people have to guess what the theme is.
We like “Australian”. The theme is Australian. This is not a secret theme, you do not have to guess what it is.
Who wants to make the thingy thing? The sign. I can do it because as a non-Australian I know what other people think Australians are like. I can use it as an opportunity to diss fairy bread.
Shall we email sponsors to ask for reviews of local/Australian people? Jake can do that. He can also send followup emails to find out about sponsor crawl. He can send these emails with Brooke because she does book things.


8.	CCC Election (Closed)

Okay, congrats to our new CCC: Tim Killick, Leah McGrady, Nic Browning, Ryan Robert Hall, Natasha Gilford, Annique Emily, Jack Kay, Adam Wright. Woohoo.


9.	CCC Introduction Things

We’re gonna need a new fridge page for CCCs, the Committee one is done. Jono can do that for the new CCC. Toby has a ban on unreadable fonts, we want people to know who’s whom.
We’re gonna need to do an introduction processy thing to show CCC the ropes. We also need a library day, maybe after Sponsor Crawl… But that’s a couple weeks away so we should show CCC the ropes before then.
Jake has been working on a form for the CCC to sign. Basically, it runs through everything they need to know like clubroom rules and what CCC needs to look out for like if clubroom assets will become damaged and making sure the clubroom is a safe space. He will put in details of the new money system. And everyone can look over it and approve it yay.


10.	General Business

So, dooring. How do we enforce our rules and things? When Leah was on committee before, dooring was used on anyone who broke a rule. Toby thinks it’s at the discretion of whoever’s holding the room. Maybe give people a warning first? Hm, but UniGames is very strict about things and if someone leaves the room for 10 minutes and leaves trash behind they are doored for the day. Maybe we can be strict with litter, cos the room perhaps is a lil messy lately. And we like the idea that when someone is doored you post on the CCC page that they’re doored for [length of time]. Okay cool.
