1. Committee Reports
President
Toby went to the SOC meeting and there were lots of words. She also organised this meeting. Her job is pretty easy because everyone’s on top of their jobs yaaaay we’re all great. Screenings are going good, and people are enjoying the Lets Play screenings. She has also brought in some new posters. There are nice new UniSFA members. Basically, everything’s fine but Toby is behind on uni with no time for fun the end.
Vice President
Leah has done things both club related and non-club related. Went to guild with Jono to talk about Camp but that’ll be expanded on later in the meeting. A few EMPs were put through and have gotten approval so now we need to make plans for these events and advertise them. Leah also has internet now and is very happy about that.
Secretary
UniSFA is no longer on OKCupid, single people everywhere will weep. Other than that I haven’t done much because I have essays to write and am very tired… Also a friendly reminder that your humble Secretary is non-binary and quite likes to be called “they”~
Treasurer
Tim went to training, and it was not as awful as people said it would be. There hasn’t been a handover yet because Megan’s not very well and is hard to get in contact atm. But have talked to Laura and Jen and a bunch of other people and gotten a lot of information still to sort through and that’ll maybe do for now. Has also done some budgeting but not all of it.
OCM Report - Jake
Jake has done stuff for the quiz night. Haven’t done the committee redirects yet because the guy to talk to about doing that hasn’t been into uni yet and it’s hard to contact him. He will contact Blair soon though about the website. Also brought up the idea of maybe handing the website over to someone but that’ll be brought up in general business.
OCM Report - Jono
Went with Leah to events to talk about camp. Looks hopeful but we need to decide what sort of camp we want it to be.
Started EMP/Risk Assessment for UniSFA Goes: Ice Skating. These forms are such a hassle no wonder I avoided them in the past. Ice Skating will be at the end of May though.
Went to Quimittee to organise quiz night. We then went to the Tav and booked it for the 6th of May. They’re gonna cater and even provide platters to table. Tickets will likely be $15 because it includes the food platters. We decided on budgeting $50 per club on prizes and we want fewer but better prizes in contrast to last year. On our sponsor crawl I guess we’ll spend our $50 and also ask for donations from sponsors.
Also updated the book buy list. It’s on the Dropbox as well as on Deep Thought.
OCM Report - Patrick
Patrick has talked to Chris about basic Frep stuff. Will later talk to him more about his role but there’s not much to worry about until the second semester charity vigil but that’s not for ages. He has gotten the blue form to fill in about all hours access (which was apparently “a bitch” to track down) and that is being filled in. Good for Patrick.
2. New CCC
This part of the meeting doesn’t have minutes because it was closed.
Basically there was a lot of talking and then we voted and then I had to leave.
Nic took the rest of the minutes because I was in class (thank you, Nic).
3. Action Items
Leah, Tim and Patrick did the things.
Reggie is sick and kind of did a thing.
Jake didn’t do things ((Corin: but will do things))
4. Swancon: Traders Booth Stuff
If someone on committee wants to help out, respond to the poll on the committee group.
Need to get paper for the book sorting and have to work out how to sort the books. Leah or Patrick will get the brown paper. Remember tape.
We’ll start on Friday instead of Thursday because easier.
Bring books, banner, money box, anything else we want. Table and chairs will be provided.
5. Potential Large Event
Jono and Leah spoke to Casey in Guild who is supportive of idea of camp. As long as our new camp is distanced from the old camp we should be fine.
We need to do so much paperwork!
Need to decide on a location, numbers, and if it should be self-catering or pre-catered (linked to location). Contact venue and make vague booking. Need people with up-to-date and viewed First Aid Certificates and RSAs.
We should have multiple events and low-energy activities such as formal book discussion, games, etc, so that everyone has something to do if they want it.
Leah was really bored at prior camps and thinks we need more events to fill up the time. Other committee members wonder if that is feasible for the length of the camp and amount of things committee is able to provide.
There is so much paperwork to do and we’d better to do it early.
Camp could happen, but there’s a lot of shit to organise and Leah can’t do it on her own.
Priorities at the moment are budgeting, venue, and getting qualifications (RSA and First Aid).
Thatcher is happy to restart TFTFTF for the new camp. We may have to rename it. We might need to reconsider whether he reimburses the freshers directly or whether we promise to reimburse them and get his money in advance as a contribution to the club.
Once it is outlined, we can consider whether we will actually go ahead with it.
6. New Fans and Powerpoints
Budgeted for 4 powerboards, but may need 5. Definitely 5 powerboards. Simple ones? Maybe one with USB ports for chargers, or just buy more chargers.
Buy one fan with a strong base that will survive being stepped on.
Need a new bean bag because one broke? Also need beans for the bags.
Need more charging cables? Maybe so we have 2 lightning and 2 micro-USB (perhaps 1 other iPhone cable?).
7. Quiz Night Progress
Quizmittee is going good. Quizmittee will deal with any issues separate from individual clubs.
Need to organise prize collection around the sponsor crawl.
May increase prices from $10 to $15 to account for security and maybe food.
8. Easter Picnic
Approval for EMP. Set budget and make a Facebook event. Patrick to make event.
Chocolate needs to be budgeted. Mailing list has to be mailed about it.
No plates of peanuts or bees.
9. CH Storage Rearranging
There’s space available on the first floor of Guild.
10. Laminating
Toby bought some posters (Firefly and Game of Thrones). Need them laminated so they can be put up. Also the committee and CCC pages.
*Jake leaves in disgust* *Jake returns with a ladder. A tiny ladder. Compensating poorly*
Frames has offered an A3 laminator. A3 posters can wait for Frames, Patrick will laminate the others.
11. Buying Games
Looking into getting a Steam account but we don’t know what the laws are regarding this.
If streaming games is legal then this should be as legal.
Can buy Steam money rather than using a credit card (which we don’t have).
Jake seems too keen. Jake will do it.
12. General Business
Sign up for Leadership Training – free RSA and you can help with camps. There’s one in study break and you get to hang out with Leah ((Corin: Also me!))
Toby got everyone’s words about things.
Tenancy Review Survey – Jake to complete.
Everyone loves Chris.
Tim we need you to consider the yearly budget: how much we make, how much we can spend, what that should be allocated to.
Beautifying grant? Special Projects grant. Tim please look into that so we know how much we can burn and get back.
Need another bee guard for the other window.
Shirts: Can consider buying pre-designed shirts and then print on them, so our shirts are better than everyone else’s. Otherwise, we can cop out and be normal and lame.
LARPs: Leah needs to talk to FLiam about running LARPs
Quidditch League is hoping to start a UWA team. Maybe UniSFA can do that/join that? Can try to attract jocks to the club. Toby to post about it.
Jake thinks jocks should play nerds.
Need to de-ice the freezer. Jake is interested.
If you see people drunk in Cameron Hall or drinking in clubrooms tell committee (in particular Jake, also Sarah) and maybe tell security if you’re up to it.
Tim to hunt down CCC money bags.
Finish: 4:53 pm
