Apologies for the delay in sending out these minutes!

Things For Your Eyes

- Uncharity Vigil! This weekend is the Cameron Hall Uncharity Vigil, come up to UniSFA at 4pm on Saturday and spend the night watching videos and playing games, as well as having lots of fun with other Cameron Hall clubs! 1.	Committee Reports

President

Toby’s been working on Fringe events, got the Facebook event up for Graeme of Thrones, and got tickets with a group discount. It’ll be good, people can still buy tickets because there’s no assigned seating. Still trying to work on shirts. Think that’s it aside from UCC drama, and Jake isn’t here to say why we got bad info. Apparently everything will be fine? So the lesson is never listen to Jake. There was some miscommunication somewhere. Toby also did various things for other subcommittees. There’s a larpmittee meeting next week on Monday. Hopefully Trent will bring Jackbox games to the Uncharity Vigil.

Vice President

Leah just sent Corin updated events/activities things for the Fresher Guide along with pictures. She got submissions for spotters guides too, so we need to meet to put things together. Please Leah know if other people are interested in helping with the Fresher Guide. She spoke to Taylor about potential dates for the AGM (We have to bring dates???) so she has a rough idea of when that’ll happen. Sorted out personal housing things. Summer is awful. Kill the sun.

Secretary

People have sent me Spotters Guides things and I’ve put them in a document, but I’ve been really busy this week with things so I wasn’t able to do much Fresher Guide-ing. Should have more time next week, though.

Treasurer

Tim had a look at the Oday grant, it looks like it’s going to be a whole lot of fun to do! Ohhh sarcasm. Is in the middle of organising a fridge run, did money report, made deposit money post.  That’s it.

Librarian

Brooke is back. Woohoo! Brooke wants to organise the library inventory thingummy. Leah spoke to Nic about it, with the audit from last year apparently there were books that haven’t been removed from the club list? Oh joy… But Brooke is keen to organise a time to do that.

Fresher Rep

It’s really hot and Marlea is leaving Australia, she’s done. She’s thinking Greenland. She tried to check if the shirts thing is HD, she thinks it is because you can zoom in really far? She will ask someone who knows computers… Made the Uncharity event. Yeah.

OCM Report - Jake

Patrick is here! Fridge run will be done today, because Pat and Leah weren’t able to get money out til today. That’s mostly it.



2.	Previous Action Items

Jake was meant to have someone make a SPACE post about the event. Annique can do that, Annique please make a post in the UniSFA page about what SPACE is and the event thing.


3.	Screenings

Nat wants to run Supergirl. Probably on Thursday
Marlea/Annique want to do A Series of Unfortunate Events. Tuesday? Yeah Tuesday works.
Toby wants to screen a game called Oneshot? But the only free days are Monday or Friday, when Toby isn’t free.
Oh but Nat may want to move to Friday so possibly Toby could go on Thursday. But first Toby has to check with Adrien about the game. So who knows?
We’re going to Fringe to see Graeme of Thrones on Wednesday (that will be hot, bring fans).


4.	Events

Fringe - This is happening it’s all going good. Toby will do the EMP for Trivia Deathmatch tonight, but it sells out fast so people may be on their own to buy tickets for that because it takes a while to organise group tickets. Will make another post about Graeme of thrones
LARP - LARPitteee meeting on Monday, may need to start selling tickets on Monday as well. There’s a LARP training day on the 3rd of Feb if people want to be an NPC but are unsure as to what that’ll be. Please come along it’ll be fun and if you NPC you get a cheaper ticket. So you can see what it’s about. And the actual LARP date is the 11th and you can buy tickets on the day. Is there an event page for these things? Yes apparently. Toby or Leah can share the training day event.
AGM - UniGames has Tuesday of week 2 and UCC is likely to be week 3. How do we feel about Friday week 2? So we definitely don’t clash? Yeah sure.
Fresher Welcome - Before or after AGM? Before probably, so they can see what the club’s like before running for frep. We can have it after the UniGames AGM so we can shepherd freshers over. Can we put these dates in the Fresher Guide? Yeah sure, cos not everyone joins the Facebook group right away.


5.	Oday

When’s Oday? 24th of Feb. We’re mostly sorted for that, we need a roster and we need stickers. 
We will make an event in club page saying come along, and a post in the CCC page saying what needs done. We should have sheets of blank stickers we can print off at the same time as fresher guide.
Print: Stickers & FGuide. Roster who will bring things down to the stall. Roster who will be manning the stall.
We should also make a timeline as part of the handover for next committee stuff. Leah has a rough one already, Toby says yay.


6.	Fresher Guide

We should do the Spotters Guide and the rest of the putting-it-together meeting, when do you guys want to do that? We can do it Friday before the NPC training.
Leah will update the events page of the fresher guide with dates and send things to me.
Nic was wondering if other people could submit descriptions for people. And maybe as long as people submit privately so we can veto anything inappropriate. Cos that’s not really different from just committee coming up with things. And Toby also wants to make a post seeing if anyone wants to opt out of being in the guide


7.	UCC Move

Jake was wrong! There was a miscommunication apparently we won’t permanently lose anything, but some things will be down temporarily.
It looks like webcams may or may not be back and everything else will just be interrupted when they move. Just no UCC wifi and we’d have to get Deep Thought connected to Unifi. It may be beter to get Deep Thought connected to Unifi anyway?


8.	Trophy

Toby forgot to bring it, fuck. But we need ‘Baratheon’ on the trophy. Brooke has a label-printer which isn’t great but better than just a handwritten sticker?
Tim was thinking we put the sticker on, then the next year we take it off and put it in the scrapbook. But a fancy label-printer might be nice, Brooke will find out about that.
We’ve cleaned the trophy. It’s all clean now, clean as a whistle. A whistle that overcame a major substance abuse problem. Trying to get its life back on track. The whistle is holding down a steady job now. It's taking things one day at a time. Eat a fuckin' dinner off that whistle. 


9.	Room Access Form

Next committee can deal with it because people don’t use the Guild Key right now anyway. Toby will forward her emails to next committee so they know to deal with that.


10.	Shirts

So shirts are nightmares. Soc sent ot an email saying the Creative Officer has a shirt supplier for clubs. There’s a set prices with no minimum order, could potentially be easier to use them than anyone else. Toby will email and follow up with that. $12 per shirt is cheap as well. We don’t want to order shirts until the start of semester,  we will email and see if that’s an option. But we’re talking to other suppliers too just in case.


11.	General Business

Brooke wants to pick a time to do the library inventory. Maybe week after next? What’s the deal with the roof by the way, shall we put things on that bookshelf? There doesn’t seem to have been any more problems but who knows. It may take a while, it may leave things in chaos. Maybe the day before the busy bee? So we can then also clean it all up Brooke will pick a day for that. Week after next? That’s basically free except for LARP. Tuesday week after next? Sure.
Jake is here. He needs money for his sausage party, he’ll get like $20 for that. He will also update the Facebook event as well to say where it is (the ref courtyard). 
Tim hasn’t been able to find veggie pastry options. There’s quorn? We like quorn but it’s expensive. There’s also apple pies option? But most people want savoury. We also would like icy poles.
Nic wanted to raise his idea of changing the date of the AGM to elect people at the end of the year instead of the start. There are some pros and cons to talk about before we start talking about it as a club. Gives more time to handover, more time for Oday for that committee’s year, aligns handover with a dead period, newmittee can introduce new things over the break, aligns with new guild and when most people changeover, but it may have issues with events such as Camp, some issues with Frep etc. Jake points out that theoretically changing the date is better but UniSFA and other Cameron Hall clubs don’t have great rates of people being available as a student next year, you can’t have a large percentage of committee not be students, and lots of people don’t know what they’re doing after the Summer. This sort of date works well for other clubs on campus but they only attract uni students whereas we attract non-students as well. If we do do this, we’d change the dates in the constitution and move when Fresher Rep is elected. The problem is, those 2 months after uni ends is when people start changing things. Basically pros are better handover times, more time for committee to get into swing of things when it’s not busy, aligns with Guild. Cons are a lot of our membership may leave over Summer after being elected. I think a relevant thing to think about is Camp because it’s unreasonable to expect a new committee to handle a camp straight off the bat. But it could be the last thing the old committee does? Maybe we can have elections but not start term until later? So like, elections but then handover after camp. Then again, we do want to encourage freshers to run for OCMs and then go onto committee. There’s merit, but needs more discussion. Take a week to hammer out pros and cons for each of us, then come back and see if we’ll bring it up at the AGM to take ideas from the club. Does Nic want to draft up changes to the constitution since it’s his idea? Yeah sure.
Leah and Nic may be editing handover booklet soon, check the dropbox and say if anything you want changed.
