Forgive the lateness of these minutes, I’m afraid I was very busy packing then moving then moving again. But here are the minutes from our last committee meeting!
Things For Your Eyes
- O-day is tomorrow! This Friday the 24th, come down to James Oval and get a discount on your UniSFA membership if you’re a Guild member! You can also take that opportunity to sign up with all the other Cameron Hall clubs and even some new clubs if any take your fancy. It’ll be sunny, so remember to stay sun-safe. - Fresher Welcome! We are going to be welcoming our lovely freshers to our club with a sausage sizzle and some fun games, if that sounds like your thing then come down to the Matilda Bay foreshore at 5pm on the 7th of March! 1. Committee Reports
President
We had the LARP and it went well, everyone had a good time. Toby has been working on the Fresher Guide and it’s done, Corin and Leah did most of it. Also screened ‘Her’ and people seemed to like it but ran out of time for ‘The Lobster’. We just had the busy bee, huge thanks to everyone who helped. We’ve got the vampire couch in the clubroom now, hooray! We also rearranged all the power points and it’s much more efficient and we fixed the aircon because it was too far away so now it should work better. Toby needs glasses again and will become a real nerd. Followed up with people about the ceiling and we should have an answer on whether or not it’s fixed at least… Also we should sign a tenancy agreement today.
Vice President
LARP happened it was good, no major incidents which is nice. Almost definitely made profit, a meeting about that on Monday. Tuesday was busy, Leah edited and added more section to the handbook and put it on the dropbox. Leah also collated all docs she could for events to handover to the next VP, but couldn’t find anything for charity so if someone has something for that please send that to Leah. Toby can send her some things. Made new membership stickers, made new membership forms, finished and printed off Fresher Guides thanks to Corin for doing most of the work (yaay). Booked room for AGM, need to make an event and come up with an agenda and email out an agenda. Put in an EGM for fresher welcome, but people need to send Leah copies of food handling in the next couple of days please. Please! And we need a roster for O-Day. Also signed us up for club carnival which is week 2 just before our fresher welcome, and we need to plan wha to do for then, it’s basically the same as O-day.
Secretary
I worked with Leah and Toby on the Fresher Guide and that’s all done, there was a minor cock-up with formatting but it adds character and makes us look human. We also got nice high-quality paper for cheap yaay! Other than that I’ve been doing other things like kpop and moving.
Treasurer
UniSFA’s treasurer isn’t here but UniGames’ treasurer is here and she doesn’t know what’s up with our finances. Good job, team.
Librarian
Brooke finished the audit for the library, but found three random books today? Finishing the rest today, just nee to do more KOHA things. And only have one more box of books too. Apparently we just need to talk to Reece and he can arrange different places to move the books to temporarily when they fix up the shelves.
Fresher Rep
Marlea has done no things! That’s a lie, Marlea has made the Facebook group for the 2017 freshers and made some great art. “Are the freshers dead?” asks UniGames’ treasurer. …Anyway! Went to ‘The Lobster’ and ‘Her’ screenings, didn’t see ‘The Lobster’. Marlea is very tired.

Pretty much everything is fine, Toby just needs to follow up with Tim to follow up with Laura for Swancon
3. Screenings
Is Supergirl running next week? Yeah. Friday.
Series of Unfortunate Events? Probably. Marlea can message Annique. Probably Tuesday.
That leaves all other days free?
Toby will take a day for Oneshot. Either Wednesday or Thursday. Thursday.
Patrick may have wanted to do something. But he needs to organise his life first.
Vamprie movies to celebrate the new vampire couch? Jake may do that. Jake needs to organise that. We’ll put that on Wednesday.
Nic and Leah were talking about a not-club-relevant screening if there’s a free day. The Most Popular Girls In School. That’ll be Monday maybe.
4. Oday and Fresher Guide
We need a roster and a couple of people to commit to setting up the TARDIS. Also if we can empty it out the night before it would be good. Brooke can help move books out of the Tardis. I will be living on campus again and can move things.
Leah would like to be up in the clubroom to make sure it’s a nice welcoming environment for freshers. Also if someone else could be up that’d be good. Update: Nic will be up in the club with Leah.
Marlea please also set up a google doc so people can say when they’ll be around.
Marlea can also bring the pride flag to the clubroom to cover up the dungeon or disguise other ugly things such our members.
Okay so Tardis… We don’t know the instructions. But we’ll see who signs up for the set-up and if they know what to do. Message Nic Browning if need be, he might have a spare copy. Actually can we just message him now and if he has a spare copy we can scan it and put it on the dropbox? Leah’s on it. Nic’s gotten back, apparently there’s a canister in there with the instructions? Brooke goes to investigate. We find the instructions! Well done kids, we climbed this whole mountain.
Tim will make sure we have free icy poles for freshers, or a sign saying there are free ones in the clubroom. And we will take down our banner, it’s probably in the TARDIS.
Make sure we have both banners done there. Make sure we have the TARDIS down there. It may be worth having a picnic blanket and having some beanbags down there so people can regularly be shown up to Cameron Hall. Bring down some flashier books and things.
Patrick is on the O-day subcommittee and may possibly have more to say when he gets here. There was an idea of having one person from all clubs showing people up to Cameron Hall.
Pat is here! In general, the subcommittee wants to have people rotating taking freshers up from all Cameron Hall clubs so there’s not 3 different people doing the same job at the same time.
5. Events
Campus Quest? Brooke mentioned Davina, she’ll have info for us. We’ll need people around. What time is it? around 3-ish to 6-ish. When Brooke knows more she can make an event or post to the CCC page to make sure people are around, we can have a screening or video games.
Fresher welcome. Sausage sizzle on the foreshore along with some drinks, and then icebreaker games back at Cameron Hall. Shall we give cans free to freshers? We can sell them at a discount. Then also fairy bread. Let’s have icebreakers on the foreshore, then we can come back for jackbox games (we think Fin has games? Brooke can message them). Someone needs to make the fresher welcome event page, Marlea can! Leah will give her dates.
Swancon. We’re waiting for Tim to get some info, but we also would like to get some info. Because they may have a dollar day which’ll be nice and good for students. And we have Swancon bookmarks to hand out on O-day.
Hold the phone, Toby didn’t used to use bookmarks and just sort of tried to remember the page she was on? Why are we like this? Why are we, as human beings, like this?
6. AGM
Set to start at 1 on Friday week 2, booked out the council room for that. Technically we can only book out that room for two hours. So if we can get through things quickly we should. We need to make an event, and the event needs to include an agenda, and we need to email out an agenda including copies of the constitution changes.
If we’re voting on changing the constitution we should let people know beforehand and include a copy of the proposed change so we can send it out for people to see.
7. Shirts
Toby has nothing new to say about shirts. Boy does she want shirts.
8. General Business
We signed a tenancy agreement.
We need to print our new book theme sign: New Beginnings. All the books are up though, they look nice.
