The agenda is as follows: - Committee Reports - Events - Screenings - Book Removal - Tenancy - Finance - General Business If you have any ideas about these topics, please share them! Natasha Gilford (Secretary) From natashagilford1 at hotmail.com Fri Jun 23 14:33:03 2017 From: natashagilford1 at hotmail.com (natasha gilford) Date: Fri, 23 Jun 2017 06:33:03 +0000 Subject: [Unisfa] Committee meeting minutes 22/06/17 Message-ID: Things for your Eyes * Lord of the Rings + The Hobbit 5th-6th July Marathon w/Katherine * Ordinary General Meeting on the 11th of August at 12pm * Due to the upcoming general meeting, it has come to committees attention that the constitution submitted to the guild last year did not reflect all of the decisions made at the last AGM. In particular, section 16.3.3. "Except those subject to section 16.3.2, appeals must be reconsidered by Committee at the next committee meeting and not disposed of until after another successful unanimous majority vote of Committee" actually reads "successful two-thirds majority vote of Committee" as per the amendment to Motion-B passed on 10/3/17. The committee has been acting in accordance to the constitution approved by the members at our AGM, and intends to rectify this mistake with the guild by submitting the approved wording along with any alterations that might be made to the constitution at the OGM on 11/9/17. If you are planning to propose amendments to this section, please keep this in mind * UniSFA Committee Meeting 22/06/17 Attending: Annique, Edward, Natasha, Harry, Simon, Katherine, Finley, Jack and Kurt Absences: None Begin: 3:02pm 1. Committee Reports President Have been dying and not left bed in like a week, coughed for half an hour. Talked to Julia and Marlea about halloween party, done some thinking on club carnival, reorganised doing mental health first aid as couldn?t go due to being sick. Went to the doctors 3 times. Went on fridge run and revised fridge prices. Vice President Arranged OGM, booked the room and done snazzy cover photo, done the emp. Had a camp meeting with casey, went well, no major issues, it?s all ok, few minor changes, done it on google drive and so committee can see it but so can casey so no memes. More camp details later, did a couple screenings with some irredeemable technical difficulties and did mental health first aid training. Secretary I have screamed and done exams and also done the Mental Health First Aid course. Treasurer No word yet on grants but other treasurers haven't heard anything so should be fine, did mental health, helped to do fridge prices, Man of Steel did not go ahead, desecrated the club by screening non fantasy and sci fi movie. Librarian I did exams, terrifying, broke toe, house broken into, it has been less than chill today. Haven?t done a lot. Have run a few screenings. Fresher Rep I completed mental health first aid screening, will try and engage freshers for winter events. Also bought first set of dice. They are pink and glittery. OCM Report - Finley Haven?t done a whole lot, did mental health first aid training, did a shitpost screening, jack?s alive OCM Report - Jack Been avoiding the president?s illness, fridge run, updated prices, printed it out, tried to get rid of addiction to MMO. Advertising on radar OCM Report - Kurt Gaghhhhh is finally over. still healthy, haven?t done too much, vetoed man of steel and put on Rick and Morty, keen to do things for the club. 2. Events * Mental Health First Aid * Was really good, highly recommended. We got a load of really important materials that are in the clubroom and will be brought to camp. * Winter Holiday Events * Edward suggests a marathon month? All throughout July, could do a lot of movies. Could be during the day due to summer break. * Stranger things?, LOTR?, Star Wars? Riverdale?? * we don?t want to only do franchises * The early academy award winners for special effects - old movies in general Annique is thinking * Could post in the group page and ask for suggestions * Xmas in July * Sci-Fi fantasy xmas specials, Shrek the halls, stuff like that. Do a little xmas tree, really decorate the clubroom * UnisMas * 25th of July * Finley?s in charge * OGM * 11th of August 12-2 * Ed has booked it and the EMP has been approved, Casey has gone on leave but there is the other guy there now. Ed has made a snazzy cover photo for the event. Annique said that the event will be after exams, * Simon wants to put a limitation on book removal that when a book has been either voted down or appealed successfully it cannot be put up again for removal for a year or some other time. Simon will sort out the wording and it will be put up online and needs to be submitted to the secretary 3 days before the meeting. Also needs to be put up by 2 financial ordinary members. * Edward wants to change guild to student guild and not guild of undergraduates, would also like to remove a gendered pronoun on the constitution. Voting order of OCM?s before Fresher Rep so Ed would like to switch those around. * Ed also wants to change the constitution with that 5.63 details an exception to 5.64 so that should be rearranged * Ed also would like to change the name of the club to University Science fiction and Fantasy Association. * Club Carnival * Annique will fill in the things for the application but we need to submit ideas. * Set up like a library - small book case in the marquee, little carpet, more welcoming for people - will need to do an inventory for all of the books, comics, DVDs we bring down. * Do we need a new marquee?, no we got a new pole from Unigames so our one is now fixed. * Jack and Annique on this. * Charity Vigil * Annique has been talking to the other presidents and they?re thinking the 23rd of September. Traditionally the last weeks of september are for the charity vigil, and there are conflicts with Uwanime and Grand final so 23rd is a good day. Need a sub-committee for that. * More audio books for chilling out to, war of the worlds maybe, some kind of calming chill atmosphere for people to relax to * Finley and Katherine will be on that. * UWA Science Fair * Ed suggests that we could maybe do a science fiction thing? * Probably not because it seems like it?s a serious science carnival. So only science clubs and it has more of an careers fair atmosphere. * Halloween Party * Marlea and Julia are interested in doing a spooky mansion type decorated cameron Hall type of thing. Annique has faith in our committee. Annique will talk to Marlea about how this will be a collaboration event. * Simon and Natasha for spooky mansions representatives * Annique wants to talk to Marlea about a halloween party thing itself. * Sponsor Crawl * Study Break - around the end on Friday/Saturday * UWAnime crossover * Annique has talked to chris and they are keen. Will be further updates next meeting. * Camp * Documents all uploaded on the google drive, no changes unless something comes up or Casey says we need to. Casey says that things are good for now. * Meeting pencilled in for 18th July with the President of guild. Edward and Annique with Nevin and Toby with Casey. Ed has talked to Taylor about tips for the meeting. Assuming it goes well, we can advertise immediately afterwards. Packs and consent forms are approved and ready to go. * Jack and kurt need to have advertising for camp done by beginning of semester, posters, Facebook headers, multiple poster designs? Jack and Kurt will talk to the guild advertising lady. Annique brings up that we need a lot of details for the poster but Ed says that he has looked up the guidelines and there are some things that can be left off. * On Saturday the 24th, Annique Jack, Finley and Ed are driving down to DARE to look at the camp grounds and see the space we?re working with. If there need to be any major changes, they?ll probably be caused by this. They are meeting at 9am on Saturday to drive down. Main issue is getting the map. 3. Tenancy * Rearranging the clubroom * Can try to apply before winter holidays and do it just before the end, or could do it during the long summer holidays. It would be nice to do it quickly. However there are many problems that need to be sorted before painting * Decide to wait until summer holidays when people are more likely to be on holiday so we?ll be able to close the clubroom for a few days * The electricity has been difficult and the lights are not turning on right now. * Positive news: It has rained several times and no leaks for now. * Debate on subcommittees, are they effective? Ed wonders whether the issue is that everyone wants to make decisions so are subcommittees that efficient * Annique says that it?s better for subcommittees to make the small decisions and bigger problems can be brought to the committee to vote on. * Will do a subcommittee of Annique, Natasha and Simon to get the clubroom ready for renovations by summer break. 4. Screenings * Monday the 26th - W - 2 Worlds w/Katherine * Tuesday the 27th- Final Fantasy w/Simon * Wednesday the 28th- Power Rangers Marathon w/Theo * Thursday the 29th- Book Club w/Leah * Friday the 30th - Cleverman w/Annique * Monday the 3rd - W - 2 worlds w/Katherine * Tuesday the 4th - Final fantasy w/Simon * Wednesday the 5th -LOTR Marathon w/Katherine * Thursday the 6th - Shitpost w/Finley * Friday the 7th - Cleverman w/Annique * Monday the 10th - W - 2 Worlds w/Katherine * Tuesday the 11th - Final Fantasy w/Simon * Someone has mentioned that due to College dinner hours, the 5pm start is difficult. * Annique thinks that this will be an issue to be addressed by the hosts of the screenings themselves with them talking to the people attending what times are good for them. * Natasha says that this will be difficult as 5pm start times are better for people with classes and for travel time for people. * Annique will discuss this with the person and people running screenings should talk about start times with the people coming to their screenings. * Marathon Month * Once a week, * Stranger things w/Harry * Shrek w/Finley - for shitposts * Power Rangers w/Theo * LOTR could do The Hobbit as well with extended edition, 24hr long thing. w/Katherine - maybe 5th-6th July - * Old Movies w/Annique * Black Mirror w/Simon 5. Book Removal Book Appeals * 2 Appeals for Shike and Treasure Island. Books up for Removal Kurt has left the committee meeting without giving anyone his proxy votes so the votes will be out of 8 instead of 9. * Fear and Loathing in Las Vegas by Hunter S. Thompson - They go to Las Vegas and do so many goddamn drugs, sci-fi/spec fic elements because they hallucinate a whole bunch. Is this still fantasy like Alice in Wonderland? * Motion to remove book from the library - motion passes unanimously * The Warriors by Sol Yurick - A book about gang warfare (Jack says it?s a great movie w zany gangs) * Motion to remove book from the library - motion passes unanimously * High Anxiety by Mel Brooks - Hitchcock horror but replace all the cool things with silly shenanigans * Motion to remove book from the library - motion passes unanimously * The Iceman (AKA Winter?s Prey) by John Sandford - We don?t have any of the other Winter?s Prey books. Creepy person runs child porn ring. * Motion to remove book from the library - motion passes unanimously * How to Eat Fried Worms by Thomas Rockwell * A child gets involved in a bet to eat worms so he can stop being bullied. * No fantasy, adorable book though * Motion to remove book from the library - motion passes unanimously * Treasure Island by Robert Louis Stevenson * pirate book about pirates hunting for treasure, very popular, travel by storm * romanticises pirates, very famous book though and it is public domain however is this a good reason to reject it. * the Black spot? Not actually supernatural just a black spot that you hand in when a mutiny begins. * One appeal on it * Plot has influenced a lot of fantasy/Sci Fi books and movies. It is important in the genre. * An adventure book - is this fantasy? * As it inspired many other books/movies/etc. does it count as fantasy/sci-fi? * Motion to remove book from the library - motion fails with 2 votes for and 6 votes against * The Long Way to Dusty Death by Alistair Maclean * A race car driver that is reckless discovers that other drivers are being killed off in a conspiracy. * Motion to remove book from the library - motion passes unanimously * Shike by Robert Shea * Star crossed love story with Japanese warriors. Takes place in the year of the dragon but there aren?t any dragons. Historical fiction set in Japan. * compresses two wars into each other - more narrative convenience * never been borrowed * No actual fantasy aspects * One appeal on it * Motion to remove book from the library - motion passes unanimously Books for the Removal List * No new books for the removal list 6. Finance * Fridge Runs * Good for now, we have a lot in the cupboard so we should be good for the LOTR screening * Steam * So far not been used, doesn?t cost us anything to have it though so will keep it * People generally have the game they want to screen * jackbox games always get used and good for charity and uncharity vigils. * Steam summer sale starting today or tomorrow so need to use it and get jackbox games. * Annique suggests Shadowrun games? Because of the LARP and Annique can donate to the unisfa account. * Jack suggests xcom, for charity vigil, create a character with gold coin. * Netflix * Voucher running out so Harry will get another one as so far it has been a success * Grant Applications * No updates yet 7. General Business * More communication to the CCC * Theo brings up that committee needs to do more posts on the clubroom, post on the CCC page when needing to update things. How to make events for screenings, lock issues, electricity problems, etc. * Screenings group * Jono has deleted it so now we can delete it by manually removing every member. * Mental Health First Aid training * Reminder to do exam and email Ed with the certificates.
