Reggie is a moderator for one of the Swancon panels! Yaaay.

We got an offer for a booth selling the library’s book doubles. Reggie confirms that we do have doubles, and we could run a library day organising books and sorting these out. We can maybe do that next weekend. This would take place in the clubroom so no need to submit an EMP. Could also use this as an opportunity to look at Koha and familiarise people with it. Everyone’s like “yeah that sounds like a cool idea”. We can hopefully do that after choosing the CCC. Although there is a lot to do, so we may have one library day that’s just committee and then the next weekend will be with CCC. If there’s a free evening, it can be a library evening during which people can learn about the library and book things.

We have to talk to Frames and say that yes we want the booth and also look into who can actually run it when. Toby will do that and also put out a note asking about who can run booth. Apparently if you run a booth, you are allowed into the traders area but to access other things you need to buy a ticket.

The other day, Frames brought up the idea of subsidising Swancon tickets for UniSFA members. This would be hard to sort it out on short notice and without Tim having done treasurer training so that probably will not happen. We can look into it for next year. Jack suggested that maybe that onus should be on Swancon as it would take a lot of money from UniSFA. That might be mentioned to whoever’s running for Swancon president next year.

Toby suggested organising a meet-up for UniSFAns who are going to Swancon. I said that may be hard to organise unless there are a lot of members going or they’re all going on the same day. Reggie talked about UniSFA’s meet-up at Comiccon and how it didn’t really work because people were all going to different panels. So probably not.

Easter Picnic - EMP has been submitted, that’s fine.

Quiz Night - UniSFA website says that’s on the 1st of may is but the actual date is not confirmed yet. We need to talk to other clubs about questions, audiovisual things, participation, etc, will assign one of the OCMs to that. Because it’s in the Tav and they supply stuff and it’s licensed, the EMP has to be submitted 4 weeks beforehand. We’ve got time, but still need to talk to other clubs and to the Tav, etc. Again, the OCMS can do that. Leah can do the Guild event paperwork that’s fine. Reggie says UWAnime also want to get more involved this year with things. OCMS can also talk to them.

Brief pause because bees.

Sponsor Crawl- This is usually once a semester, late in semester, but we should get on it quickly. Leah’s not sure how it’s classified by the Guild, but it may take 7 weeks to get approval so yeah. Also we need to buy books and we have a list of good books so either wait for Sponsor Crawl to get them or just do a committee buy. Reggie says there are issues to iron out first - like the fact that KOHA search isn’t working so we don’t know what books we already have. We should do more work on the library before doing anything else. In the meantime let’s assume there’ll be no book buy until the Sponsor Crawl, and we’ve got 7 weeks to get THAT sorted.

Library Days - Reggie needs to make a list of library things that can be done on library days, and library things that can’t be done on library days. We certainly need to deal with doubles, and maybe rearrange things. Either way we’ll need to list all the books we have. Are we getting rid of some books? Short answer: kinda. Long answer: there’s a loophole, so we can get rid of books that aren’t sci fi/fantasy as well as doubles. To get rid of others would require changing the constitution. Jake’s making a list of books he wants put in storage in the meantime. Before any storing can be done, the books need sorting - that’ll be a library day most likely. That’ll probably be discussed more next week. Point is we have 1000+ books, so it’ll take a while to sort them and decide if they’re being read or not.

UniSFA Goes - Jono wants more of these! These are events where everyone from UniSFA is invited to do social things outside of UWA, e.g. ice skating, bounce, etc. Most of them are medium events, so EMPS need to be submitted 4 weeks in advance. We could also look into relevant pop culture/sci fi/fantasy things that people might want to see e.g. shows, comedians, what have you. Those sorts of thing are minor and easier and you don’t need to submit EMPs so early, unless there are people under 18 attending in which case it becomes a medium event. Broke students can’t always afford to go, but they’re interesting and club-related so could be fun.

Hobbit’s Picnic - It’s gonna happen.

Charity Visual - See above.

Big Event It Would Be Nice To Run This Year - What could it be? Camp? A week of activities? A ball? Something else? Leah thinks we should try and make sure people in the club have good experiences - prioritise on that over budget and attendance. Chris likes the idea of a camp. Tim thinks the idea of an on-campus con sort-of dealio sounds interesting, but that 5 days may not be the best idea. Also Genghis Con is already a thing that exists so would an on-campus con thing be redundant? Will possibly see if UniSFA can get more involved with Genghis Con. Best plan of action is probably to stop and think of what we want to actually achieve and decide on an event that best reflects that.

So… Camp? - Toby wants an even to promote bonding and friendship in the club, so a camp or something close to a camp would possibly be good for that. Tim thinks camps are far away and annoying to set up and points out that if things go wrong they can go very wrong but it does force people to bond… Something on campus would be easier but people can wander in and out and there may not be as much bonding happening. If we do run a camp it will not be like Terracon. Terracon is dead. Don’t try and fix it, you can’t fix it when everything was broken. Any camp we may plan would be completely new: new approach, new location, new culture. This way it would reflect the new, safer environment of the club. So what can we do to get a potential camp approved by Guild? Also, what can we do that makes potential camp typically UniSFA and not UCC or Unigames? Maybe run huge screenings (e.g. all of LOTR or tv show marathons) or maybe gamers can run oneshots and games/lets plays. A lot of people in UniSFA do have interests across all the other Cameron Hall clubs, so maybe it’s not really a clone if it’s something we enjoy. Also, winter break has been saturated with camps, perhaps do it a different time of year? Agree it’s not a good idea to do it during study break, and that we don’t want to team up with another club’s camp. Needs further thought.

On-Campus Club - Maybe we can run some eventy things over a few days at UWA? This’d be more accessible and easier to keep safe, plus people can do various things they want to do over the day and leave if they want. Can look into on-campus accommodation à la Genghis Con so it’s more like a camp. If that happens, we can do things on the evening e.g. quiz night, cosplay ball, etc. Reggie says you have to use Guild catering for something like a ball on campus and it was over budget for the Cameron Hall Ball. Treasurer can look into catering options. Leah will look into on-campus accommodation and see what the options are. On the final night could have a one-night trip up North for stargazing and telescopes cos that’s cool and fun.

Off-Campus Camp - If it’s a thing, maybe run it for 3 days instead of 5. Leah suggested tents instead of cabins? This may be a problem because UniSFA has lots of wires and power boards. Also Corin is not okay with tents, because Corin is a precious flower from the city. Stargazing IS really fucking fun, though, Corin approves of that and thinks it’s always a good idea.

Camp??? - We’re not sure what Guild will approve with regards to a camp. Leah would ask but she’s swamped, will probably send jake or another OCM to find out things. She may be free over the next couple of days to coordinate w/ OCMs and take notes. Leah will confirm via email with someone on the Guild before we do anything. She is very busy with her thesis but will work hard and we appreciate her efforts.

Genghis Con- ????

Basically, we gotta work with Tim the Treasurer and the Guild to figure out what needs done for a potential camp and how much it’d cost. Maybe if it’s on-campus there could be air-con, so a Summer exam just after exams would be nice. If we do do a Summer camp, would be nice to run weekly UniSFA Goes events e.g. beach, cafes, laser tag.

Might just ask online if anyone has ideas for non-camp events.

Secret Santa - Idea for more books is that people get put in pairs and say what they look for in books, they then get recced a book and can read it over the semester if they want.
Toby likes my idea for a little shelf of books with reviews from people saying “hey this is a good book for these reasons” to encourage more reading. We can use the currently-unused memo board to pin up the reviews. Start doing this as a monthly thing and do it more often up if it goes well. We can also write a pinned post with the theme of the month and books that are recommended, then other people can comment with other books. It can be Reggie’s job to think of books and themes. The themes can be something like “1st book in a series”, “Books set in cold series”, “Horror” (that’s for October).

Oh, we can also have a Halloween festival because Halloween is great. Things like dressing-up, social things in the tav, horror movies upstairs, dramatic creepypasta readings, write your own creepypastas, etc. That’s for way later, though.
