Hello UCCans, 
 
As of the committee meeting held on Friday, 4th November, the
Committee voted in favour of introducing opening and closing times for
the clubroom. 
 
The proposal for this change has come from much discussion within
Committee over the past couple of meetings regarding the current
cultural issues and presentability of the Club and the Clubroom
particularly. 
Over the many weeks, further initiatives will be discussed and
implemented by Committee to address cleanliness, hygiene, door member
responsibilities and expectations, member behaviour, and the
approachability of the Club. 

While the opening of the clubroom will still be reliant on a Door
member being present, as of Wednesday, 9th November, the clubroom
shall officially close between the hours of 3am and 7am. (that is, the
morning of Wednesday 9th from 3am - 7am) 

The only circumstances in which a member is allowed into the clubroom
are hereby provided: 
- if that member is on wheel or committee business; or 
- if a member has received prior approval from a member of committee
by email, where such approval shall be reviewed at the subsequent
committee meeting. 
 
To apply to use the clubroom during these hours, a member must email
committee-only at ucc.asn.au with their intended use. A member of
committee will then respond to the applicant as to whether permission
has been granted by email, with committee-only included as a
recipient. 
 
A non-exhaustive list of reasons which may grant approval follow: 
- Committee Work 
- Club Work (including club projects and machine maintenance) 
- University Work (for studies) 
- General Project Work (hardware or software) 
- Committee-run Events (LANs or game nights) 
- Major Game Release Nights (must also be advertised to ucc at ucc.asn.au
and UCC Facebook) 
- Other reasons considered on a case-by-case basis (like specific
member events) 
 
A failure for Door members to comply with the new procedures may
result in a loss of door privileges. 
 
It must be stressed that this measure is only the first in many to
come, and the Committee will be working tirelessly over the holidays
to improve the environment of the Club.  During the implementation
period of the summer holidays, the Committee will be constantly
reviewing the effect and result of the new measures.  There will no
doubt be many changes over this time as Committee reviews their
actions.  
 
All feedback on the initiatives is welcome, will be genuinely
considered and should be sent to committee at ucc.asn.au, especially as
the Committee decides whether to continue the measures into the next
semester and beyond. We as a committee value the input of members
immensely and would greatly appreciate everyone's cooperation in our
efforts over the coming months to explore new possibilities for UCC's
future.

There is no doubt that some of the measures will be controversial, and
while the Committee encourages robust debate, it would be ideal if
discussion could be conducted in a civil manner, showing respect to
all members.
