This is a follow up email to remind you of the December Tenancy consultation meeting. Detail are as below:

Wednesday 16th December

  *   Annual December meeting for tenancy consultation will be happening at the Guild Council Room (level P3) from 5:30PM to 6:30PM
  *   All tenants (incoming and outgoing) will be invited, one (1) club executive must attend this compulsory meeting and attendance will be taken
  *   Attendance may affect future tenancy applications for that club (in accordance with Section 28aiii of the Tenancy Allocation Policy)
  *   The agenda and an email calendar invite will be circulated by Thursday 10th December 5PM

I have also attached the agenda to this email. Apologies to those clubs who were confused as to why the agenda, but no meeting description, was sent in the formal Guild email to all 895+ contacts. As not every club are tenants, the agenda only is relevant to those that are.

We will be discussing a lot of topics and issues that have been raised throughout last year, as well as the direction for Tenancy in 2021.

Dear all,

Thank you for your patience this year!

My name is Chloe Kam, and alongside my role as the Public Affairs Council (PAC) President, I will be taking on the responsibilities of Tenancy Chair.

Due to the mishandling of club and storage rooms, incomplete (void) contracts and negligence over the last year, the incoming tenancy committee has been left with no choice but to completely reallocate club rooms and lockers spanning the years 2021 – 2024.

While this means that club executives will have to reapply, we are working hard to accommodate for everyone’s needs in addition to improving the Cameron Hall, CCZ and new Guild spaces available.

We have set clear deadlines as to how the application process will be handled.

Thursday 10th December

  *   Applications for club rooms and locker storage will be open and circulated via the Guild website, Facebook and Email at 5PM

Wednesday 16th December

  *   Annual December meeting for tenancy consultation will be happening at the Guild Council Room (level P3) from 5:30PM to 6:30PM
  *   All tenants (incoming and outgoing) will be invited, one (1) club executive must attend this compulsory meeting and attendance will be taken
  *   Attendance may affect future tenancy applications for that club (in accordance with Section 28aiii of the Tenancy Allocation Policy)
  *   The agenda and an email calendar invite will be circulated by Thursday 10th December 5PM

Sunday 10th of January

  *   Applications for club rooms and locker storage will close by 11:59PM on that night
  *   No further applications past that time will be accepted

Monday 11th of January

  *   Preliminary allocations will be complete and be passed onto Guild Executives for approval within 5 working days
  *   After decision returns from Guild Executive to Tenancy, announcements will be circulated to both successful and unsuccessful applications
  *   Appeals can be submitted after this announcement, sent directly to the Guild Executives

The final confirmations of club rooms and lockers will be dependent on how quickly both allocations and appeals pass through the Guild Executives. Once formalised, successful and unsuccessful tenants will be notified within two working days of the Guild Executive’s decision.
